At the moment, we are planning to run distribution on Tuesday, but there is a chance we might change it to Wednesday, depending on updated air quality and weather forecasts. Your plan this week should continue to be to connect with families, run some morning Webex meetings, and assign some easy assignments (assuming limited resources at home); all with the goal of building connections with your students and families. You cannot communicate with your families too much right now and keeping them up to date with changes (and building their confidence in you as their teacher, in spite of all the crazy!)

Week 1 Survey for Families: Here is a link to the spreadsheet where you will record the answers to your family surveys this week. If there are families that have not signed up for a time, be sure to continue to reach out in a variety of ways to make that connection: although we tend to rely on phone calls and emails, text messaging is often the best way to reach some of our hardest families to reach. Your first connection with families this week is a critical one in setting the stage for the year; be persistent in making it happen and let Jessica know if you are still unable to connect with a family.

Week 1 Attendance: We will not be taking attendance during week 1. However, on Friday 9/18, please follow this link to list the students and families that you have not been able to reach, despite your best attempts. You are welcome to contact Jessica sooner than Friday if you have made several attempts on your own and would like some assistance before Friday.

PE & Music: PE and Music will begin on the Thursday and Friday of the first week with students (September 17 & 18) during their regularly scheduled time. Kathy and Melissa will be sending out a schedule early this week letting you know if your grade will be on a Monday/ Thursday schedule or a Tuesday/ Friday schedule and letting you know how your students will connect. Just like classroom teachers, they will be easing students into routines, and their first few sessions may not last 30 minutes.

Technology Support Items: We got a few last-minute technology support information items that will make CDL go more smoothly. Frank will be pushing that information out shortly.

**COVID/ Safety related information- READ COMPLETELY and CAREFULLY:**

Elk Meadow COVID Safety Plan: As I shared at our staff meeting last week, there are over 100 safety items in the Safe Schools Ready Learners document from ODE that must be met before we can allow any students in our building (doesn’t matter if it’s one student for an evaluation or 250 students for hybrid learning). Bend-La Pine Special Programs would like to begin Limited In-Person Instruction (LIPI) starting on September 23rd. This means there are several items in the safety plan that we need to get out to you. Below are some of those information items. Please read them carefully and let me or Frank know ASAP if you have any questions or concerns.

COVID-19 Guideline Enforcement Staff Member: Every school is required to have a “COVID-19 Guideline Enforcement Staff Member and staff need to know who this person is. For Elk Meadow, this will be Frank. This is posted on our staff bulletin board in the workroom. Any concerns about the overall safety plan implementation should be made to Frank (who will work with our safety team) for resolution. If a resolution cannot be achieved, you can contact Paul Dean, who will problem-solve with the district safety team and our school safety team. If you would like some clarity on any speicific item in the ODE Safety Blueprint/ Guidelines, please contact Frank, who will consult with Paul Dean, as needed.

Elk Meadow Safety Team: We will have a large safety team and smaller work teams. The small work teams will work on solutions to issues from the ODE requirements/ blueprint and present the ideas and plans to the large team for further development. The large team will consist of Frank, Kelle, Jessica, Mike, Sue, Nicole, Jerry, Ann, and our SRO. The smaller work teams will be determined by the expertise needed in each situation. The school safety team will meet regularly (at least monthly with greater frequency at the beginning of the year and in preparation for the transition into in-person education) to address COVID-19 specific questions or concerns that have been communicated by employees to the safety team.

Safety Plan Adherence: An individual’s (student/staff/visitor) lack of adherence to safety practices should be made to your principal for resolution. If concerns still persist, human resources will assist with staff issues, student issues will be addressed by the most appropriate personnel (SPED, nurses, behavioral coaches), and we advise that visitor issues be taken up with the proper level leader.

Health-Related Questions: Health-related matters can be directed to Ann Hollenberg, our school nurse, who will contact Tami Pike as needed.

Presumptive or Confirmed Cases of COVID-19: Building principals will work with the Director of Communications & School Safety, Julianne Repman, to distribute letters to staff/families in the event of a presumptive or confirmed COVID-19 case. Presumptive or confirmed cases of COVID-19 go directly to Tami Pike. And, as directed last week, if you come down with any COVID-19 symptoms while in the building, isolate yourself immediately and contact the front office.

Contact Tracing: One clarification – if you are using the digital sign-in and sign-out process, you do not need to keep a paper log as well. I will be keeping a paper log just so I remember at check-out who I need to add to my contact tracing, but I won’t be turning my log in to April as it will all be digitizeid.

To Do:

List Week 1 Nonattenders on Friday: Here’s the link

Important Dates:

Monday, September 14th: Start digital sign-in and sign-out process; meal service new time – 11:30-12:45

Tuesday, September 15th: Distribution plan A (park in the back of the building),

Wednesday, September 16th: Distribution plan B

Thursday, September 17th:

Friday, September 18th: List week 1 nonattenders,

This and That: New Distribution Date: According to the air quality forecast, the smoke should start clearing on Tuesday, and Wednesday is looking to be back in “good” range.
