10/7/22 Weekly Update

Parking Lot Gate:  In response to your requests, Zach will leave the parking lot gate open in the mornings up to 7:15 to make it a little easier to enter while carrying your materials.  If you are ever entering slightly after 7:15 and he has not yet locked it, then please lock the gate behind you.  We all need to help maintain the secure perimeter from 7:15 to 3:15.

Conferences

  • After consultation with BEA, we have landed on the following times.  If a teacher has 25 or less students, their conferences need to be between 25-30 minutes to accommodate for transition times as needed (25 min gives time for a quick restroom break, time in case one goes longer, etc.).  If a teacher has 26 or more students, their conferences can be 20 minutes, giving the teacher the ability to have a few longer ones as well as building in transition times if needed.  
  • As for scheduling, I am still advocating for the use of google sign up forms to allow families to choose times that work best for their schedules.  If you need help setting up and sharing one of these with your families, just let me know.  If you have not already shared your sign ups, then please get those shared by the end of the week.
  • Ashley worked with our PTO board members to provide food for Wednesday and Thursday.  There will be a variety of dishes and options for breakfast, lunch and dinner each day.  There will also be some volunteers coming in to do the set up, transitions and clean up.  We are also trying our best to help make sure we have enough food for everyone’s unique tastes without having a lot of left over food go to waste.

School-Wide Plan for Halloween: After some thoughtful discussion with our leadership team we reached the following decision(s);

  • We will not be dressing up for Halloween Day on Monday the 31st, however we hold “Costume Day” on Friday, October 28th.  This can be either all day or part of the day depending upon teacher’s/team’s preference.
  • For any classroom parties or festivities, please use culturally inclusive language and activities that are not completely centered on Halloween.  You do not need to completely throw out Halloween.  See resources below.
  • For costumes, we are discouraging weapons and full face masks.

Here is the “Why”;

  • It is our goal as a public school to create the most inclusive and culturally responsive environment as possible for all students/families.
  • This move is very much aligned with our district equity stance. It may not seem like much, but it’s a really good step in a direction that can grow into a very inclusive and educational experience for students and adults.
  • Celebrating Halloween as a school creates a school environment that is not inclusive of all students.  Our population is changing and we should not wait until we accidentally exclude or offend a family before we make a change for the better.  (Approximately one-third of the US popluation does not celebrate Halloween)
  • Separating our costume day from Halloween provides better separation between the public school and not-so-secular Holiday, allowing us to have the celebratory fun without the direct connection to the holiday.

  • Here are some other autumn holidays celebrated around the world.  An essential question such as, “How do different cultures explore/represent the relationship between life and death?” could help tie together a unit on different Autumn holidays.
  • When studying holidays that might not be part of our local dominant culture, authenticity and respectful representation is important.  (Teachers Pay Teachers packets aren’t great here.)  Is there a family in the class who could come do a guest presentation?  Or a read-aloud written by an author from that culture? 
  • LEAD Coaches would love to help teachers with any of these!

SRP Staff Training: This is tentatively rescheduled for 10/27 at 2:30, however I am still waiting on confirmation.

From Lora re: Subs – As many of you know, we’re still facing challenges with getting substitute teachers in our schools. While we want to support professional learning and field trips, we also want to be cautious for now. So, for the time being, we ask you to do the following:

  • If you have staff that require subs who are taking students on a field trip, please make sure these are only scheduled Tuesday-Thursday. Any exceptions need the approval of your level leader!
  • If you have staff that require subs engaged in school business (grade level or department planning, ICCL retreats, etc.), you need to get the approval of your level leader IF more than three subs are needed. Again, these should be scheduled for Tuesday-Thursday.

From Instructional Tech – October brings a refreshed emphasis on digital citizenship. Most of us agree that digital citizenship skills are important but are unsure how to fit teaching them into our already full schedules. Rather than recreating the wheel, Bend La Pine Schools leans on the expertise of Common Sense Education and their vast resources, including ready-made free digital citizenship lessons for all grade levels. To get started, check out Digital Citizenship Made Simple. These skills will carry our students into the future; please take a few minutes to highlight their importance in your school this month.

  • Brian and I got to attend the first of two Restorative Practices Trainings on Wednesday. We are already putting a lot of this into practice and that is exciting. Below is one of the slides from our training. It is a great reminder that the restorative process begins with active, non-judgmental listening and expression of feelings and impact. This allows for students and staff to build strengthened relationships by genuinely presenting oneself as someone who cares and has feelings. This authentic expression offers one the opportunity to learn and reflect on how their behavior has affected others.

From Instructional Technology – Canva for Education (not to be confused with Canvas) is now available for all teachers and students.  Canva is an online design and publishing tool that provides templates for easy-to-create presentations, posters, documents, and other types of visual content.  This PDF explains how to get access and login to your Canva for Education account.  If you need any support with Canva for Education, please reach out to Tracy Howk, Robbie Faith, or Austin James.

9/23/22 Weekly Update

Just one of the many spectacular sunrises from last week….

Bias Lesson: Just a reminder that you will be delivering this lesson on 9/27 or 9/28 or 9/29.  Thank you to Marieka for the demo and thank you everyone for your time put into this lesson and getting the letters out to families.  If you need some more background or conversation regarding the “why” behind this lesson, please reach out.

SRP Student Lessons: These lessons were shared in an email on Tuesday morning and the slides are linked here.  There are 5 lessons (I think I said 7 in the meeting, so that was wrong).  Please prioritize Lesson 3 to occur prior to or near our Lockdown drill on Thursday 9/29.  The others can be done at your discretion with a soft deadline of mid-October.  Our next fire drill is scheduled for Monday, 10/11, so if you want to plan the evacuation drill for that day you can utilize the actual drill for the lesson.

SRP Training: This staff training is postponed until we can determine a new date.  Stay tuned.

Menstrual Dignity Act Lessons: I have not shared these with you yet because I am trying to be sensitive to all the different things we are asking of you (on top of your regular duties).  We’ll give ourselves a little more time before rolling these lessons out and putting the menstruation products in the boy’s bathroom.

Meeting Schedule Tab vs. Google Calendar: I can say with about 90% accuracy these two are synced up.  Please reach out to me if you notice a discrepancy.

PLCs: We are starting our bi-weekly PLC meetings next week.  Your grade-level ICCLs are ready to lead each of your teams in the process as it evolves over the year.  Kaelynn is also joining us on this journey whenever she can, so please reach out to her as a resource and sounding board for your teams.  The form is linked below in the week preview section.  

Some changes from last year;

  • Everyone will be focused on reading.  We have a lot of effort going into this area, so to help streamline our work, we will use a common focus.
  • We made some small tweaks to the form to make it more user-friendly.
  • There will be a spreadsheet available (linked within form) for everyone to see your past input as well as the input for the different teams.

9/16/22 Weekly Update

I am going to do my best to get back some normalcy with this update, but I understand and fully empathize if this is too much, too soon.  The cognitive load we all just experienced is significant.   You are not all expected to be ready at the same time, so take what you need or just set it aside and come back when you are ready.  

Foundation Skills Blocks:  Please reach out to let me know your specific time frames for the foundational skill block during your reading block.  If you look at the master schedule you can see where I showed the blocks for our 2/3 team with a blue-border.

Bias Lesson: Just a reminder that you will be delivering this lesson on 9/27 or 9/28 or 9/29.  Marieka will be demoing the lesson for us on Wednesday 9/21.  The parent letter is meant to come from you and I would like to have these go out on Wednesday 9/21 at 4:00pm.  

SRP Training: On Monday we have a district-provided Standard Response Protocol (SRP) training with Juilanne Repman or Scott Bogonski.  If this is outside your hours you can time-sheet the extra time.

Mileage Club: Starts Tuesday 9/20 and is every Tuesday and Thursday; unless canceled by air quality.

Meeting Schedule Tab vs. Google Calendar: I realize these are not yet synced up, but I will be working on it soon.  We still have some moving pieces that I want to be solidified before I commit.

Fall Culminations: The form is due this weekend (if you need more time, just reach out).  Next week we should be able to solidify dates, times and locations for everyone.

From Scott McDonald re: New Staff Portal and MFA (multi factor authentication)

The most common feedback from the launch of the new portal has centered around how often staff are asked to complete Multifactor Authentication (MFA).  Please consider sharing our new MFA Tips link with your staff.  Making the suggested changes will considerably reduce the number of times a user is asked to complete MFA.

9/2/22 Weekly Update

Loose Ends:

  • Transitions – who walks where and when…????  Please take some time to read the tab labeled transitions to understand the different routines for transitioning between recess, lunch, music & PE etc.  
  • Lining up – When you do look at the transitions tab you will notice students are to line up when they return from recess.  I know this is not everyone’s desire, however, I do believe this is the safest way to make these transitions happen.  With the doors being locked at all times, there will be too many opportunities for collisions at the doors that we need to avoid.  (This is specific to students returning from recess, not the morning arrival.)
  • Morning Arrival Routine – if you plan to ask your students to wait outside for you please be aware of any students riding the bus so they will not be unintentionally excluded from your class routine.  Also, since we do not have supervision, it is imperative you meet your students promptly at 7:35.
  • Recess Rodeo – As we mentioned in the past, the pandemic gave us an opportunity to move away from this ineffective practice of large group instruction outside.  From our observations, this practice did not truly teach students the expectations.  Most students were not attentive, could not hear and even many adults could not remember all the instructions and rules being explained.  Utilizing video and demonstrating the expectations via acting out the behavior is much more effective for learning.  It’s also a great way to re-teach when they “forget”.  So our new Recess Rodeo is ongoing and occurring in a different format.
  • Lunch buckets – lunch buckets should reside in the downstairs hall outside the cafeteria (except for Alicia and Amber – we need a slightly different plan for your classes due to PE & Music).
  • Standard Response Protocol (SRP) posters and evacuation routes – these need to be posted in every room.  Please check to see to see your room has them.  Send an email to all 3 of us in the office if yours is missing.
  • Kids, Inc – FYI Bend Parks and Rec has the gym, cafeteria, and room 14 reserved each day after school.  Michael is the lead again and he is aware that they need to keep students out of the rest of the school.
  • EA schedules are close t0 being finished.  EAs will be given their individual schedules and grade level teams will be given their specific EA support time frames.
  • Classroom PE minutes: Congrats to the 4/5 team for getting their movement break times on the master schedule!  Please get me your movement break times for your grade levels.

Bus: If you have students who are riding the bus in the morning, they will be dropped off at 7:35. Hailey will meet them at the bus and walk them into the building.  At this point, the kids will walk straight to their classrooms.  PM bus kids will meet Hailey in the hall outside of her room and she walk them to the bus. Maybe send them a minute or two early if you are located downstairs or towards the back of the building.  Brian and Heidi will be at the Harmon and Nashville gates. 

PM Recess Coverage: Please create a schedule that includes two members of your grade level team for your PM recess time. Once this is created, share it with Brian so it can be added to the calendar. Thank you! Recess Rules are linked here. 

Assemblies: Assemblies will be on the first Friday of each month. Our first assembly will be on 9/9 at 1:30. A seating arrangement will be sent out by Heidi Thomas before the assembly. This will be a quick welcome back or welcome to Highland and introduce our staff. 

We would like to continue with school-wide spirit days starting in October again this year! Please use this Padlet to share ideas. The list of character traits can be found in the staff handbook if you are curious.

8/30/22 Weekly Update

Unclaimed Items:

Please take a look at the photos below.  The cabinets and the table are in room 14 and the shelves are in room 3.  If you see something that belongs to you or your grade level, please come claim it and store it in your own room.  A lot of this stuff was displaced by the multiple moves during the 2020/2021 school year so we just want to give everyone a chance to claim what is theirs before it goes away.  We will be looking to remove anything that is not claimed and not useful in the near future, to regain some space back.  There are a lot of math manipulatives!  

Do you need more chairs?  We have a lot of large and medium chairs on the stage, so if you need extras, please let me know.

Do you need more double or single desks?  We can fill that need!  Just let me know.

Hallways: The north-to-south hallways are the major routes of evacuation in an emergency so they need to be kept as clear as possible.  Every furniture item placed in the halls poses a threat to safe evacuation, especially if there is panic.  Please ensure everything in these hallways is tucked against the wall, ideally in the spaces between locker bays.  Now that we are no longer eating on the floors and spacing out in the classrooms we can get these back to a higher standard of safety.

Also, just a reminder the top of the locker bay is not considered safe storage.  If you must put something up there, please ensure it cannot injure a child if it’s pulled down.  It would also be nice to keep it somewhat attractive since we will be welcoming the community into the building this week.

8/26/22 Weekly Update

If you were unable to make these two keynote speakers this week, I highly recommend you look up some of their work and check it out.  It’s vital to any effort of creating an environment that serves all students. 

PTO Update

  • Lunch with the board – On Thursday 9/2 our PTO Board (which consists of almost all new members) will be hosting us for lunch after our Storyline training.  This will be a great opportunity to put some names with faces and get to know them.
  • Budget – We drafted a budget for the upcoming giving campaign to be shared at the first general meeting on 9/15.  Some things to note;
    • There is a significant rollover from last year.  The board decided to apply a portion of this each year for the next 4 to 5 years.
    • The cost for 4/5 Boot Camp is under the Priority 2 category as an enrichment experience.  To accommodate this expense we needed to do some trimming of other items in all 3 priority categories, however, we were able to retain decent amounts for most all line items.  
    • The “School supplies” ask has been removed to be consistent with the district language, however, there is a line that describes “supplementing school supply funds for teachers” somewhere in the campaign language.
    • There is a line item “Class Funds – Storyline” for $9,000 (or $600 per classroom teacher) that will be released to our study body accounts for each of you later in the fall.  This is essentially your supplies and storyline funds combined into one.  Everyone started with $200, so you can expect a total of $800 this year. This can be applied to supplies or storyline needs for your individual classrooms.
    • There is still a line item for Storyline Planning & Development that will support 3 full days of release time for each classroom teacher.  (I am not holding my breath on the sub situation, but I am hopeful we can return to utilizing these release days to help you get the time needed.)
    • Rather than fund the coffee pod supply for the Keurig, the board will be attempting and hoping to provide one Kambucha pony keg each month.  (We will be on our own for coffee.)  This is not currently supported by the usual $400 cost, but the board will be exploring some ways to stretch this over the year.  Ashley also has some good ideas on how we can keep this treat going.

Change of plans:  We learned this week that ParentVue will not be available on Wednesday to share the class assignments with families, so we are going to ask for your help with reaching out to your families.  We will provide a “form letter” for you to tailor to your own voice to send to families via Synergy welcoming them to the class on Wednesday afternoon (Ideally everyone sends at 4:00).

Arrival/Dismissal:  One topic of discussion for leadership was the arrival and dismissal of students each day.  

  • Morning:  We would like to move away from lining up in the morning before going in and there seems to be a consensus that teachers would like to greet students at their classroom.  Heidi and I will open the Harmon and Nashville gates at 7:30 and students can enter the campus.  Breakfast will be available at that time for students buying breakfast and the cafeteria door will be open for them.  At 7:35 (first bell) our two back doors will be opened and students can start to enter the building to go to class.  We will need two adults monitoring those doors.  The bus arrives at 7:35 and we will have an adult bring those students in through the front door.  At 7:45 (2nd bell) the doors and gates will be closed.  Students arriving after we lock up will need to come through the office.   (The one caveat is we will likely do a different plan for Kindergarten only for the first 3 days.)
  • Afternoon: For dismissal, we plan to have K-1 parents encouraged to collect outside the southwest corner of the playground fence(by the 4-square cts) using the Nashville gate and we will encourage the parents and students of the upper grades to use the Harmon gate.  We can put some signs out over the fence to help group the classes accordingly until we get the routine established.

Recess Exchanges: We will likely need to have students line up for teachers to meet after each recess, otherwise the exchange of incoming and outgoing students could get pretty chaotic.  I am open to suggestions, but I don’t think we want a large group of students to all crowd the doors with or without an outgoing group.  Reach out to me if you think you have a good idea that works for everyone. 

New EA: Please join me in welcoming Doug Hermanson as one of our new EAs.  Doug was an EA for Lava Ridge last year and he is looking forward to joining our team.

Volunteers: we are still limited to 1 volunteer per classroom each day.  If we have a need for more then we can go through an approval process to request.  For outdoor activities, we are not concerned about limits, so events like milage club will run as in the past.

Changes to COVID Protocols: Social distancing is no longer required.  Masks are a personal choice.  Cleaning supplies are still available at stations in the halls, but teachers are not required to provide any specific cleaning routines.  Contract tracing will only be used in rare cases.  If a person does test positive they do isolate for 5 days.  The 6-10 day masking and eating separately is still in place. 

Lunch: We will go back to using the cafeteria for lunch.  Lunches are no longer free to students and we will go back to the process of using the computer for tracking the student (and staff) lunches.  Kimberly and I met this week to discuss our entry plan for the students and we think we have a solid system.  I fully expect this process to be slower in the first couple of weeks, but it will get more efficient with a little more repetition.

8/19/22 Weekly Update

Staff Room Make-Over – thank you to Ashley and Steph for re-branding the staff room with a fun theme.

Master Schedule: Kudos to our Leadership team for hammering out the details for our final master schedule.  

Some highlights:

  • 60-minutes of common Storyline time at the end of the day for all grade levels.
  • 15-minute (10-minute on Wednesday) Universal Morning Meeting time.
  • 40-minute Music and PE on M, T, Th, F
  • Time for transition for PE/Music.
  • Common prep time for K and 1.
  • Combined 4/5 & K recess allowing for PSIs to work with youngers without missing classtime.  (We will use Field and Playground zones on alternating weeks to ensure the youngers have access to different play areas.)
  • Lunch is back in the cafeteria (1 grade span at a time)
  • Teacher rotation for supervision for the PM recess.
  • Potential times for the 30-minute reading intervention are shown in bright green.
  • Bells, bells, bells…There are a lot of bells, so we may want to consider eliminating the highlighted ones.
  • PE minutes in the classroom – we will still need to identify 40-minutes of PE time each week led by the classroom teacher.  More on this later.

There is still some fine-tuning (especially the Wednesday Schedule) to do but you can start to get a sense of how things are shaking out.

The meeting Schedule is approximately 95% complete.  All afterschool meetings and SIWs are listed here and we will work really hard to keep this synced with the google calendar (please note there will be discrepancies every now and then if and when changes are made – please be kind when pointing out these mistakes).  

New this year, we are directed to schedule a time for weekly staff meetings.  These will be on Wednesdays from 1:15-1:45 prior to SIWs every Wednesday.  We will cancel these as necessary but we were asked to put them as placeholders.

Culture of Care: Please bring your Classroom 180 book on Wednesday. Heidi will bring extras for those of you that are new to us! State Testing Results: Linked here are state testing results.  There are grade-level tabs for each test as well as individual teacher tabs, so you might need to scroll those tabs over to see your individual sheet.  Overall Highland students performed exceptionally well.  We should have several students identified for TAG based on these scores, so as soon as we have the 97th %ile cut scores, we’ll update our list.

Class Lists: these are available for one last look before we close them before we move them into Synergy.  The deadline for any potential moves or conversations about moving is Wednesday 8/24.  Reach out if you need to talk it through.  Thank you for your patience, please know we are attempting to honor everyone’s time differences in processing these appropriately.

Elementary iPad home use and insurance (From Skip) –  In response to screen time concerns, home management issues, and Lexia and Dreambox overuse, we are asking that k-5 teachers not send iPads home on a regular basis.  This doesn’t mean they can never go home.  There will be times when projects need to be worked on or students need an iPad due to an extended absence.  This will be the exception, not the rule.  When they are sent home we ask that teachers notify parents well ahead of time, describe the purpose for them coming home, and remind everyone of proper iPad use.  There might be some parents who want the iPad sent home regularly.  These requests should be granted.  Parents should coordinate with their classroom teachers on how this happens.

Because we will not be regularly sending iPads home we will not be offering insurance to our elementary families.  We predict that this new approach will vastly decrease damage rates.  In the event an iPad is damaged, the district will be covering the cost.  We will be monitoring this new approach and evaluating its effectiveness and success at the end of the year.

8/12/22 Weekly Update

Master Schedule:  Our leadership team will be taking a look at some drafts on the 15th to provide input on the final master schedule for this year.

Highland Team Sign-Ups: Linked here are our Highland Teams.  I placed people according to where they were last year and removed anyone who left (as best as I could remember), but that does not mean you must remain on the same teams.  You all have editing rights so you are free to add/remove yourself to the desired team.

Nutrition Services Message:

Staffing continues to be an issue for us. We’re always open to referrals! Without full staff, not all of our services will be able to be reinstated but, as of right now, this is where we are:

  • All meal service will go back to the way it was before Covid. We will return to free, reduced and paid status, and paid students will need to start paying for meals on Day 1. Please encourage people to apply for free or reduced-price meals early to avoid accruing charges. We will be sending notification postcards/letters to families regarding CEP (Community Eligibility Provision) schools and pricing at non-CEP schools.
  • Free and reduced applications for non-CEP schools will go out to families.  The forms are also available online. https://www.ode.state.or.us/apps/frlapp
  • Oregon’s Student Success Act allows higher income limits for families.  Many families may now qualify who were not eligible in the past.
  • Meal Prices:
    • Elementary: Breakfast $2.50; Lunch $3.50
    • Secondary: Breakfast $2.75; Lunch $3.75
    • Adults: Breakfast $3.25; Lunch $4.75
    • Milk: $75
  • BLPay will go back online September 4th (the Sunday before school starts). All kids who are in Synergy at that time will be uploaded to BLPay with their school assigned as of that date. There are still no fees for using BLPay.
