To Do:

  • Would you please take a few moments to review and update your 2017-18 Staffing Plan in Google Docs?  Although I am not looking as often as I was a few months ago, there are times when I need to review staffing at a building and having the most current information located there would be very helpful.
  • Consider including the DACA letter that Lora emailed you (on 10.3) in an upcoming parent newsletter.
  • Also, please help spread the word for the first MS Parent Workshop on Student Wellness that Chris and Lisa talked about at our last Horizontal meeting. If you could share the description and RSVP link found here with your parents, it would be greatly appreciated. Like you, our MS counselors were also very excited about being involved in this and subsequent Parent Workshop events coming this year.
  • Green light to move forward with communicating information about and collecting SLGGs from your certified folks.  Please refer to Jon’s email (on 10.3) for specifics around SLGGs/Evals/Minis.

 

This and That:

  • If you have a question or concern that may involve the need to talk with legal council please communicate this with me first.  We currently have six different attorneys/offices that are used for school-related issues (not including School Board topics) and navigating where to go for help can be cumbersome, so let me help you with this. Additionally, we are instituting a change in where subpoenas are delivered to our employees during work hours. From now on we will try to funnel all subpoenas through an attorney at the Ed Center, who will then reach out to the employee and offer assistance on navigating through the issue that the subpoena represents.
  • The COSA Principal’s Conference is once again coming to the Riverhouse in Bend. This year we, as a district, will not have any registration slots for schools to use.  If you would like to attend (stag, or with a team from your school) you are welcome to do so – but know that registration fees and any subs needed will be your responsibility to cover.
  • Scott Bojanowski has set up dates and times for the Standard Response Protocol (Lock Down, Lock Out, etc.) and the De-escalation (Officer Stoaks)  classes that we conducted last year to take place again this year. Both of these classes are in PD Place. The SRP class is for all new employees, anyone that didn’t receive the training last year, or anyone that would like a refresher course. The De-escalation training is geared towards front office staff. (LPMS & 3RVRS, Scott is working to find a date in March to offer the SRP in South County as well.) All of the details regarding these PD opportunities can be accessed here.

  • Don’t forget that the student Gallup poll is currently open and will remain so until October 27.
  • I met with TLC leadership this week, where we consolidated our Sept. visitation notes into some common themes.  More to come on this later, but suffice it to say that all were impressed with your vision, leadership, and honesty around your current SDP status and where you could use additional support. I look forward to this month’s visit with Austin and/or Dave – with a focus on assessment and data.

  • Here is a quote from author Dan Rockwell for you to consider: “Feedback is a gift when it comes from someone who is committed to your success.” I would add that if the receiver doesn’t think you are committed to their success, the feedback is anything but a gift. How might you communicate your heart for someone’s success before you need to provide feedback?
  • The School Board has “adopted” schools for this year.  What this means is that you may have a board member reach out to you – or you can feel free to reach out to her/him – for a visit, gather your input or insights, or just touch bases with you to see how things are going this year. Thank you in advance for making your “adopter” feel welcome and a valued piece of the work that you do. Here is this year’s adoption list and School Board email contact info.
  • As you likely have heard, our Oregon Report Card is going to receive an overhaul.  With ESSA coming on board, the Report Card that provides feedback/rating to the public schools in our state is going to have a new look.  Here is a Frequently Asked Questions 1-pager that highlights the changes that are known at this point.  Additionally, the new ratings will fall within three categories (Opportunity to Learn, Academic Success, and College and Career Readiness) – without giving a school an overall mark.  Sounds a little like our “three buckets” of School Design work, doesn’t it?  Within this sample ESSA Report Card you will see three new indicators that will be included: Chronic Absenteeism, Freshmen-On-Track, and Five-year High School Completion Rates.  Only Chronic Absenteeism will be rated for middle schools.
  • Happy Birthday on Thursday to Steve Stancliff!
  • Mindy Drake, PE teacher at Silver Rail Elem., is the director of Oregon SHAPE which is our statewide physical education and health association. She has asked that we help communicate some exciting news:This year we are having our annual conference in Bend on October 13th & 14th, and we wanted to formally invite all the administrators in the District to attend the conference or even portions of the conference.  As part of our advocacy plan we comp the registration for any administrator who would like to attend.  We do offer PDU credits for attendance, and this year we have Dean Kriellaars as our keynote.  He was the keynote speaker at our National Conference in Boston this year, and the opportunity to listen to him speak about physical literacy is unique and exciting.  With the whole child emphasis that our district is turning to as well as bucket work, he speaks in a highly engaging way to all three buckets.   If you’d like to know more about him, click on the link below for additional info.

    In addition to Dr. Kriellaars acting as our keynote, we have also paired with ODE and the PEAK coalition to talk about the new release of Oregon Physical Education standards and to address information with regard to HB 3141 (as it was formerly known).  There will be sessions that have the most current info on the law and its implementation.  Here is a flyer regarding this conference.  If you or another building administrator is interested in attending, they can contact Mindy directly and she will help with the registration process. And finally, there are new tools for evaluating health and physical education programs, some of which could be quite useful and streamline the evaluation process for principals. Contact Mindy if you’d like to learn more about these.

  • We are having a Leadership meeting on Monday in the Board Room.  Don’t forget to bring some ideas/examples of a SDP “challenge” you are currently facing.  Also, each school should plan on bringing a laptop to use during this meeting. When you arrive, please find and sit with your school visit teams.  As a reminder, here are our teams this year: 1) LPMS, REALMS, HDMS, SPED; 2) SVMS, CMS, Tamarack; 3) PCMS, PBMS.

To Do:

  • If you have a “next fall check list” of things to consider at the start of school, these two suggestions may be worth considering for implementation or modification to fit your situation.  They both come from Rachel Mavis, who spent a large part of the student’s first day at CMS due to a new attendance secretary hired there.  Here are her thoughts from that experience:

    1.      When the students get their iPads (before school starts), have a session, hand out or quick video on the iPad showing them how to log into StudenVUE to see their Schedule and locker. This will cut down on paper and students standing in line the first day of school.

    2.       Instead of Parent’s filling out a form on medical information, encourage parents to create a ParentVUE account – log into PVU and make the changes there.

  • Jon and Debbie will be joining us to talk about a few HR-related topics at our next Horizontal meeting.  In the meantime, please hold off on collecting SLGGs for this year. This could be a topic at our next Horizontal, or you may receive an email from Jon prior to then to inform you of some changes allowed by the state and how we will be working with our teachers around goals for this year.  But again, please do not communicate about or collect any SLGGs until you hear more from Jon.
  • I pulled our MS data off of the recently released SBAC scores from 2016-17 and JoAnne helped me by putting it all on this one page. This is one snapshot of how your school performed, and I probably don’t need to tell you that it likely is not a very good reflection of your academic achievements. Across the bottom of the page are the schools listed (left to right) based on Free & Reduced rate. If you’d like to view it without printing then I’d recommend you download it (button on top right, next to the printer).  If you open this downloaded version then you will be able to rotate it (by clicking on a button also on the top right of your screen).  The rest should be self explanatory, but feel free to ask if you have any questions.
  • Dr. VanLoo recently shared an article with me that I thought is definitely worth passing along to you.  It comes out of the Sept. 15, 2017 edition of Education Week.  Entitled “How a Simple Writing Exercise for Middle School Led to Higher College Enrollment” and talks about the affects this practice has had with Latino and Black students.  Although not addressed in this article, I also wonder what effect this practice would have on attitudes and behaviors of low socio-economic middle school students.  Here is a short blurb from this article to wet your appetite to read the entire (short) article: “The intervention is one of a growing set of so-called “nudges,” low-cost, short-term interventions that prod students to make positive changes in their attitude or behavior. These interventions are intended to be small, but build effects over time.” And finally, this article is not just about college enrollment, but asserts that this intervention leads to more (almost immediate) feelings of belonging in school for these students.

  • Here is information regarding the four MS District SIW dates this year.  This information will be shared with teachers on Monday – so please take a look and ask questions if you have any.
  • Here are the meeting dates and topics for our monthly Monday Leadership admin meetings.
  • Radios: Schools and programs can use the handy order form to order replacement radios or batteries that complement their existing systems using their current school budgets. The District hopes to roll out a district wide, interoperable radio system that will allow schools to connect with one another, central administration, buses and emergency responders as soon as the fall of 2018.

  • Annual Safety Training and Drills: With the welcome of a new school year comes the opportunity to complete annual safety drills.      Bend-La Pine Schools Safe Oregon roll out date: October 23, 2017. We will do a district wide communication for the October 23, 2017 launch.  

     Those that still have “inactive” Safe Oregon accounts should go to the website homepage: https://tips.safeoregon.com/login/ and select the “About” tab, “Log-In” which will take you to the Login page. Once at the Login page, select “Forgot Password.” You will receive an email that will allow you to set up your account with a password so that you can now log in.

      Please log in and become familiar with the dashboard for their schools. They can use the Resources page on the website (after logging in) for training on how to use the dashboard.

  • If you haven’t yet, no doubt you will soon need to have a conversation with a staff member regarding some aspect of his/her work that needs to improve.  An article, Being Direct with People About Mediocre Practices, regarding this fact of leading people was included in a recent Marshall Memo (700). I thought the author included some practical, helpful and graceful ideas when having these conversations.
  • This past spring as part of the OSAA State Basketball Championships a few first-time teams participated.  These teams weren’t competing for a 5A Championship, but were rather representing their school in the OSAA/SOOR Unified Basketball Championships – with teams made up of kids whom receive SPED services and those that do not, playing side-by-side.  Bend High had a team there (ultimately taking home 4th place) and this short video describes what it meant for a few of these student/athletes to be involved. Special Olympics have been around since 1968, but I have not heard of a tournament where our kids with a disability are teammates and compete with their non-disabled school peers.  Least Restrictive Environment just took another foot forward.  How might this idea take shape or have implications with your students this year?

Reminders:

  • We have a Horizontal meeting at CMS on Monday (9/18) beginning at 3:15.  Please note the location change! The agenda is packed, but please be ready to share a highlight or “a ha” moment from the start of this year.
  • As you begin planning for and having mini observations I wanted to remind you that non-summative, contract certified staff only need 3 mini observation/follow-up conversations this year.  Those whom will be receiving a summative evaluation or are probationary teachers all need 6 mini observations/feedback conversations.  Under this format you will (after this year) have a total of 9 observations to use as input/evidence when you complete a summative eval for a contract teacher. Also don’t forget to log all of your observation/feedback/formal dates (and notes if you’d like) into Talent Ed again this year.

  • Here is a great suggestion that I pulled out of a recent ELL newsletter that Kinsey Martin sent out – and hope you find a way to share it with your staff as I believe it is a powerful way to give voice to our students who are often voiceless:

    Do you want your students to feel they belong in your school? Here is an easy step toward that goal: spell and pronounce student names correctly! This shows interest and respect for their identity, and is a tangible step to overcome cultural or linguistic differences. If you aren’t sure, ask the student or family. Instead of calling roll on the first day, teachers can listen to students say their names, and find the names on their class lists.

  • I want to give you a heads-up that I will likely be bringing along a friend or two during my September and October scheduled monthly visit with you. Starting next week – and throughout the next two months – when I come see you I’d like to spend our time looking at your School Design Plan.  For September I’ll be joined by someone in TLC and our conversation will center around what type of support you need (and how can TLC help provide it) to reach your goals. I’ve added a name next to your Sept. visit date (Lora, Skip or Sean) in our shared MS Calendar if you’d like to know whom will be joining me.  During our October visit I’ll have Dave or Austin (or both) join me and we’ll focus on the assessment/upstream measures for your goals – and what support they could provide. So, please not only make sure your SDP is updated in Google Drive, but also be prepared to have a conversation around your Plan through these two lens’ of how we might better support the work you are engaged in.
  • You may have heard that the Oregon Report Card is getting an overhaul that will be implemented next year.  As part of that process, ODE is collecting feedback on what types of information – and in what format – these revised Report Cards will provide. I recently completed this ODE survey about the Report Card redesign and found it to provide some insight into what is coming.  It states that it will take 20 minutes to complete, but I did mine in nine minutes.  If you are wanting to learn a bit more about what changes might be coming I encourage you to take this survey for yourself.
  • An article that Shay shared with the School Board a few weeks ago I thought was definitely worth passing along to you. The article is entitled The School Climate – Student Achievement Connection: If We Want Achievement Gains, We Need to Begin by Improving the Climate. The title says it all, and I hope you take a few minutes to read the entire article, or at least the charts on page 3 and highlights/summary on pages 6 & 7.  There is some great potential work to be done around “empathy” (think Design Cycle) in terms of listening to your stakeholders to learn more about how you might improve your school climate.

Reminders:

  • There are two board policies that I want to remind you of (because of concerns they are not being universally adhered to).  First, remember that all fundraising activities (there is a form for this) need to have the principal’s approval prior to the start of that fundraiser. Second, all out of state travel (field trip, band competition, Robotics show – anything), or MS athletic travel beyond 75 miles from school, both need prior superintendent approval. (In other words, don’t plan on going unless Shay gives the OK.) Let me know if you have questions regarding either of these.
  • You may be aware that next week is National Suicide Awareness Week.  What you might not be aware of is that there are a number of activities planned here in Central Oregon that you may be interested in being involved with, or passing along.

  • If you haven’t already, please be sure to complete and return a copy of this form to Becca Scott ([email protected]) PRIOR to any of your certified staff needing a sub. If you are able to provide breaks (morning and afternoon) and lunch (mid-day) with one sub schedule then you only need to complete Step 1 on this form, as it will pertain to all of your teaching staff.  If you have more than one start/end time then please also complete Step 2 to indicate which teachers are on which start/end times.
  • If your School Design Plan in Google Docs is not the most current version, please make sure to make any updates needed prior to your September meeting with me. More to come on the “why” behind this request next week – but I wanted to give you a little more time to make any updates prior to my visit with you.

  • Dr. VanLoo emailed you the 2017-18 Assessment calendar last Friday.  In addition to linking it here, you can also find it in the BLS Docs tab within the blog.
  • In a recent Marshall Memo (700) there was an article entitled Criteria for Good Classroom STEM Problems. One of the suggested “criteria” included using an “engineering design process to solve the problem.” I suggest you consider (and communicate with your teachers) using the design process we spent time learning and utilizing on our August 10 training day.  As a review, here are the (non-linear) steps in that process: Empathy, Define, Ideate, Prototype, Feedback, Reflect.
  • Please share this One Class at a Time grant opportunity with your teachers. The below information is from Kyle Frick, administrator with MidOregon Credit Union, the title sponsor of this grant.

This is the basic information for the superintendents to help by sending me nominations that we can select and award to classrooms beginning in Sept 2017. Some of the best projects have been supporting Camp Tamarack, Food backpacks, chemistry equipment, ukelales and a marimba for Bend High (they were using one borrowed from COCC).

One Class at a Time grant applications will be chosen on merit criteria. Criteria will be largely based upon imaginative, sustainable ideas that will have significant impact and ongoing relevance. Field trips and other similar short-term efforts will likely not be considered. Nominations will be reviewed by a committee represented by News Channel 21, and One Class at a Time sponsors. This committee will also select the ten winning nominations throughout the school year.

Reminders:

  • There has been quite a bit of talk (rightfully so) about air quality lately! If you need talking points around this topic please refer to the information page on our district site that was sent to you earlier this week. To highlight one point, if there are concerns with air quality that warrant restrictions of outside activities you will be contacted by Scott Bojanowski via email (shortly after 6am, 9am, or 12pm) regarding this concern. If you do not hear from Scott but have a concern at your school please give me a call.
  • Next Wednesday, our first day with students, is NOT a School Improvement Wednesday schedule day.  Rather, it is a full day release for students. (Just like the last Wednesday of the school year will be.)
  • A goal of mine, again this year, is to make it to each of your buildings for a brief visit next Wednesday.  I will assume you will be busy and will not have time for a conversation – but if you have any questions or concerns know that I’ll be stopping by listen.

  • Principals, I’d love to start collecting your yearly work calendar.  Please get these to me by Monday, September 11.  Thanks to you three early birds who have already sent yours to me.
  • Here is a list of the Teacher Candidates and their MS placements this year.  Please take a look at this to make sure you (and your teachers) are aware of these folks joining your team this year.  Thank you in advance for opening your school/classrooms for training our next wave of professionals.
  • There are a number of MS teachers that are required to attend a training on Friday, Sept. 1.  If you have an opportunity to reach out to these folks please remind them to sign up in PD Place and attend where advertised. Teachers include science, math, and ELA (if they did not attend the same training on 8/16).

     

This and That:

  • A few other ideas came up (from Redmond) regarding the topic of expectations around subs this year.  One idea, if you have a long term sub in your building (whom can’t work more than 40 hours per week, or is due time and a half pay) is to hire these folks into temporary positions (to negate the 40 hour a week restriction).  This has not been processed yet as a possibility, but if you have a long term sub in your building then let’s discuss this.  Also, if you have teacher candidates (student teachers), you may want to consider how/if these folks might help provide coverage of breaks for a substitute.
  • Here is a link to OAR language around Meals and Rest Periods, as well as a Q & A sheet connected to substitute breaks.  Both of these two documents were shared with you (hard copy) when we first discussed this topic, but I wanted to make an electronic copy available to you as well.

  • As a heads-up, all of you have used a SIW in the past two years for a QPR training with your staff.  Because this training is provided every three years, some of you will be asked to provide another SIW between Jan. and June, 2018 for this training once again.  The schools needing training this winter/spring are: Cascade, High Desert, Sky View, Three Rivers and Pilot Butte.  (The rest of you will receiving training next school year.)  There is nothing to do at this time, besides know that you’ll be asked in the coming months to sign up for a training date later this school year.

 

Reminders:

  • I am not working on Friday, 8.25.17, but am available by cell phone.  Christie and I are bringing our youngest child, Brogan, off to start his first year of college and will be making our formal drop-off/not coming home with us activities this weekend.  I’ve psyched myself up to believing that dropping our third one off at college is going to be much easier than dropping the first two off were.  We’ll see…
  • Principals (or VP if you can’t make it), see you all Monday (8.28.17) morning for the New Teacher Day at Summit HS to introduce yourself and any new certified staff you have this year.  Plan on getting through the breakfast line at 7:00am, prior to the busses with new teachers arrive. You’ll be able to head back to your building no later than 9:00.  Let me know if you have any questions regarding this.
  • If you do any communication (in writing) with your staff regarding the Welcome Back BBQ on Tuesday, 8.29.17, please do not include the option to “flex their time” (come in later than normal in order to include the BBQ as part of his/her work day) as this is not a part of a regular work day for many of our classified staff. Let me know if you have any questions regarding this.

This and That:

  • There will be four District SIW dates for middle school staff this year.  Here are those dates: 10/18, 11/29, 2/28, 4/25.  Please plan around these dates when you are considering PD plans for your staff during School Improvement Wednesday times.
  • Continue thinking about your plan for sub break(s) and lunch.  Let me know if you have any questions regarding how you might make a plan work for your building.  As you think through this, here are some resources that might be helpful.  This is a copy of the letter that has gone out to all HDESD registered subs.  From our discussion this morning, this is what I thought you said might be your initial thinking on how you will provide breaks/lunch.  Please feel free to update/correct anything I may have misunderstood or you’ve had additinoal thoughts regarding.  Lastly, CMS was able to dig in today and get to a place where they have a plan based on whether the regular teacher has a morning prep or afternoon prep.  All of these documents are within the BLS Docs tab.
  • Also connected to subs and AESOP automated calls, the question came up today as to whether a school could have two different sub start times.  The answer is “yes” this is possible.  If you are interested in this possibility (as CMS is), please let me know and I’ll help you get connected to the folks who can support this happening.
  • I will be out of the office next Friday (8/25) as we’ll be taking our youngest son off to college.  Feel free, as always, to give me a call or text on my cell if you need anything.

Reminders:

  • The eclipse on Monday (8/21) has created some stir in Central Oregon.  As you are likely aware, we, as a district, have decided that we will be “closed to the public” on both Monday and Tuesday.  However, this is still a work day for those who are already on the clock.  So, if you (or anyone else in your building who has already begun working) want to take this day off then you need to report it as a non-work day.  In other words, inside the building it is a regular day.  The difference being that doors may remain locked so the community does not have access these two days.  Let me know if you have any questions regarding this.
  • The Trauma Informed Schools Summit is next Thursday (8/24) at Summit HS beginning at 8:00.

THIS AND THAT:

  • First, I want to welcome all of you back to the start of another year!  And might I say again how fortunate and excited I am to be able to work with you and support the great things you have going on in your schools. I also want to introduce and welcome the new CMS team.  Well, Stephen isn’t new, but he will be taking on the role of principal and they have hired Eric Powell as the Assistant Principal to fill his position.  Many of you may already know that Eric has been the Dean/Counselor at CMS for a few years, but has had his admin license and filled in a leadership role in Hawaii prior to returning to Bend-La Pine (he is a former CMS student himself!).  Additionally, you heard the news recently that we lost Brian Crook to Madras HS (to work with his former colleagues Neff and HD) and Susan Heberlein has graciously come out of her short-lived retirement to be the interim principal so we can post this position in late winter/early spring.  I’m sure you will all love working with Susan and getting to know Eric better – learning the great things both will bring to their respective middle schools and our “tribe” of middle level leaders.
  • As you are aware, certified staff are now on a two-year evaluation cycle – meaning that a Summative Evaluation is completed every other year, but the observation requirements look the same every year.  However, there will be some changes to our certified observation expectations beginning the 2017-18 school year. I believe these changes strike a nice balance between honoring your time and the professionalism of our teachers, with improving instructional practices and pedagogical conversations between teacher and supervisor.  Please let me know if you have any questions regarding these changes.

    • Admin breakfast: Friday, June 23 beginning at 7:30am at the Ed Center
    • Admin Safety Training (required): Aug. 9 at Summit HS [This will also include training regarding our new student threat assessment process and a visitor management update)
    • Leadership Academy (required): Aug. 10 in Sunriver [Don’t forget to invite your ICCLs.  More info to come regarding this day.]
    • Take It Up training: Aug. 15 & 16 at PCMS [You should have already signed up for this with a school team]
    • Trauma Informed School Summit: Aug. 24 at Summit HS [Sign up in PD Place]
  • This should not be new information to your registrars, but it may be to you: New Student Registration will be available to families at all of our schools (except magnet schools – REALMS) beginning June 26.  This would be a great way for parents to begin the registration process during the weeks that your offices are closed.
  • If you have any sort of end of year staff communication still to send out, you may want to include the website for summer PD: bit.ly/blspd.  There are quite a few opportunities for staff already listed, and likely more will be added in the coming weeks.
  • Speaking of which, here is one to highlight for you – and encourage you to pass along to your SPED and interventionists:

    Several options around the intervention programs on our district intervention matrix to support interventionists in rigorous implementation of these programs will be offered.  Additionally, a “Raising the Rigor” of interventions training during the week of Sept. 11 – 15 that Julie, Jenn and Lindsley will lead to discuss instructional enhancements to improve student achievement.  Sign ups are open now in PD Place.
