TO DO:

Walt and Terry shared earlier this year, and you may have already heard this from your building engineer, that custodians will no longer be changing locker combinations during the summer. This is something you will need to have someone else complete. I believe your options are either to hire one of your current classified staff members (nutrition services, EA, secretary, etc.) and time sheet them their regular rate to complete this task, or to contact Walt Norris and ask that he provide someone who is interested in completing this task for his/her regular rate of pay (again, via time sheet). Likely, a nutrition services employee will cost between $13 – $20/hr. It is important that you have a current employee perform this task.

Informational:

In planning for next year, remember that we are not running early bird classes and have some guidelines around practices prior to school. Here are those guidelines and some additional language from Jay about sport specific PE classes and after-school practices. Thank you for communicating this information to your athletic staff.

Early Bird Athletic Practices:

  • Each sport has the option of offering no more than two practices each week prior to the school start time of 8:45.
  • Practices will end by 8:00, so teacher-coaches are available to assist students in classrooms, participate in meetings by 8:15 and/or prepare for the day. This allows students to access teachers for help and get ready for their day.
  • Swim practices can continue in the am due to impacted facilities usage at Juniper Swim and Fitness.

Sport specific PE classes and After School Practices:

After school practices can begin at 4:00 and not before. Students can be enrolled in PE or conditioning classes that meet during the last period of the day but should not be required to be enrolled in such classes as part of being on any team.  The lines should not be blurred between the last period of the school day and the 4:00 start of practices.

Our HS LA PLC team is doing amazing work around broadening our HS reading lists to include more diverse texts and authors. This team of LA teacher leaders from our high schools represent all LA teachers and will be asked to share out and gather input from those teachers for the purpose of determining our guaranteed, viable curriculum for every student. This is an equity initiative and I will need your support in ensuring our teachers are integrating these texts into their LA curriculum.

Here are the reading goals for each grade level, the summer reading task for the team and the link of the book summaries. I am so impressed with the work this team is doing under the leadership of Michele Clements, LA Teacher at MVHS. We have strong momentum going in the right direction!

TO DO:

As part of the District Literacy Plan we are launching next year, we have posted a .167 HS Literacy Coach position. This position will be posted internally and closes next Thursday.  We are looking for a current classroom HS teacher (of any endorsement area) who regularly implements these practices in their own classroom, has an interest in designing and leading this training and who is willing to coach side by side with high school teachers new to our district. In addition to this release period, these teachers will be out of their classrooms additional days to coach teachers who have been in our district for one or two years. Dean Richards will be working directly with this individual and the MS disciplinary literacy coach to plan this training and develop a coaching plan. We will likely interview for this position on June 18. Please share this information with your teachers so they are aware of this opportunity.

Jon would like you to share this information with your teachers regarding the PASS program: The original PASS MOU between BEA and Bend-LaPine Schools was not extended.  We have a new PASS MOU that outlines a three-year transition for employees on the PASS salary schedule back to the traditional salary schedule.  We will be working with individual employees on how they will transition back to the traditional salary.  Some employees will transition back immediately and some will continue for the next two to three years.  All employees will be transitioned back to the traditional salary and the PASS salary will not exist as of January 1st, 2024.

We will continue to keep the mentorship program and will add the literacy training, which will both be mandatory for all first and second year teachers. We will also continue to provide the PASS classes that help support teachers in the first few years of the profession.  The difference is that the classes will be optional. Note: While optional, successful completion of the classes will be required to complete the district’s Advanced Professional Development Program. This is one avenue for a teacher to qualify for a professional teaching license. We will also open up the classes for other district employees to attend. 

All new teachers hired for this year will be placed on the traditional salary schedule.  Teachers in the first two years will be given a mentor with the expectation of also completing the induction and literacy training.

We will schedule an informational meeting for the employees on PASS Monday, June 10th at 4pm.  We will also be setting up individual meetings with any interested teachers. If you have questions, please call Jon. Thanks for all you do.

TO DO:

We are moving forward on launching a K-12 Literacy in our district next year. For our high schools, this looks like Disciplinary Literacy training for all of our first and second-year teachers to the district, excluding a few positions such as counselors, Athletic Directors, and School Psychs. These teachers will benefit from 6 1/2 days of training over a two year period focused on those Research Validated and Based Literacy Best Practices as highlighted in these documents: The Teaching Disciplinary Literacy to Adolescents report by Timothy and Cynthia Shanahan, the Reading Next Report, and the IES Secondary Guide.

Thank you to Scott and McDonald and Jill Hubbard for visiting our HS Principal meeting this morning. They presented some research around Computer Science in our nation and state and spoke to the exciting work happening in our middle and high schools around CS coursework and teacher professional development. Here is the powerpoint they shared with us today. Be sure to reach out to Scott or Jill if you have questions about how to integrate more CS into your school.

Sean shared some important information regarding our Culture of Care Project. This project provides resources for us to drive our work around providing social skills development for all our students. In the fall, our team will do some planning around guiding principles that drive our work with students and determine the training and resources necessary to support those principles. This regional grant will provide resources in professional development, coaching, and curriculum. As Sean’s letter explains, please be thinking about your school level team that can provide direction on your Culture of Care work!

In planning for fall, we have scheduled our Suicide Prevention Training for Tuesday, September 24, 7:15-11:15 which is mandatory for ALL of your Health Teachers.

Deschutes County Health Services, the partner who does this training, is looking for an 11th or 12th teacher to pilot the SOS: Second Act curriculum in their classroom. New Teacher Day is August 26th: We are always looking for new ways to welcome and honor new certified employees to our district. Our traditional day for welcoming new certified staff to our district might become known as “Teacher Signing Day!”   In order to help with this day, we are asking you to do two things:

Please have new teachers complete this form and return it to you. The form is a template you will need to customize before you send. At the August 26 new teacher welcome, choose the answer to ONE of the questions to share in your introduction of that teacher.

Also, provide one piece of school ‘swag’ (t-shirt, water bottle, coffee mug, lanyard, etc.)  to your new staff member during introductions.

We are hoping for this to be an exciting way for us to welcome our new teachers this fall!

Please add this important task to your END OF THE YEAR CHECK OUT PROCESS with your sped teachers: SPO needs your help again this year to ensure all SPED case managers (SPED teachers and SLPs) have completed and finalized their IEP processes and documents prior to checking out for the summer.   Last year we asked that sites add a box on your check-out form that says, “All IEP documents finalized.”

Once all paperwork has been finalized,  the SPO office will send each case manager and email indicating that they are “all clear” with their paperwork.  It will be the case manager’s responsibility to provide you a copy (or forwarding) the email from our office.  Please don’t let them check-out until this has been documented.   Please note, we will be sending frequent reminders to case managers on the days leading up to June 14th, so there should not be any surprises.

Mental Health Provider List: At the HS Counselor meeting this week, we talked about resources for counselors to share with families. Here is a helpful list of community mental health providers compiled by Deschutes County that you can provide to parents/students asking for community mental health resources. Please replace any documents or other resources that you’ve used in the past, with this list. A couple of notes about this resource:

  1. Needed resources can be easily filtered using the left side of the page
  2. Although it provides a logo for the Suicide Prevention Alliance, this group is simply providing the space for providers to register their services, it is not an indicator that this page only provides suicide resources.
  3. These providers are not vetted at all – the district does not endorse or otherwise promote any of these providers over another.
  4. With that said, if you have some you have heard to be successful in working with youth, please encourage them to register on this site.

Here is a message from Lora regarding Taking It Up training! “This week I sent out publicity to all staff regarding this summer’s Taking It Up training. While most of the work over the two days is focused on individual exploration and reflection, time is given Tuesday afternoon for school teams to talk and plan. I encourage you all to attend, if you haven’t before…AND to encourage both certified and classified staff to attend. Of course, certified staff could count their attendance as their Days 189 and 190. You might consider paying classified staff who are not on contract to show how much you value their attendance. If you have classified staff who don’t have access to a computer, you can send their names to Stephanie Bent and she will register them. Contact Chris Boyd or me if you have questions or need more information.”

Several of you have had questions about who gets called when a tip comes in on Safe Oregon. Here is some helpful information from Scott Bojanowski: “The tips are triaged into three categories that determine if 911 or a school administrator gets called first.

  1. “Standard” which need to be addressed or acknowledged in the system within 24 hours.
  2. “Urgent” tips could mean potential harm to a student but that incident may have taken place in the past. Those tips will trigger the tip center to start calling the phone tree for each school until someone answers the phone. If they don’t get in touch with one of us they may call 911 depending on the severity of the information in the tip. We then have to use our best judgement to decide if the incident requires action now, or we need to notify 911 for a welfare check, or if it can wait until the next day to deal with. The tip line will keep calling until they get in touch with one of us to at a minimum acknowledge we have received the “urgent” tip. They will call 24/7 on those tips. 
  3. The final category is “critical” which means someone is currently in a potential situation that may cause them harm. For these tips, which as a district we have only had a couple over the last year and a half, the tip line is supposed to immediately call 911 and then start calling the school phone tree to assure we have received the report.”

ACT Test Date for 2020: Just a reminder that ACT testing is scheduled for Feb 7, 2020, next year which, oddly, is a Friday.

Interesting Reading:

Recently, Jessica Jacks, Prevention Programs Supervisor, Deschutes County Health Services shared a compelling article with our Health Advisory Committee titled Why Scare Tactics in Drug Prevention Messaging Don’t Work.

The article summarizes that “…over 60 years of studies show that relying on fear to prevent alcohol and drug use simply does not work. Even worse, scare tactics can actually increase problem behavior. ” The research supports positive messaging, opportunities for behavioral change, presenting positive alternatives and the development of decision making, coping and resistance skills. Our challenge is to implement these effective practices into our schools as a way of proactively addressing the drug use we are seeing in our community.

Here are a couple of interesting articles that may be of interest to you related to the SAT: College Board’s Plan to Assign Students a “Disadvantage” Score on the SAT and New SAT Score: Adversity.

We witnessed fantastic news coming out of the Senate this week with the passage of HB 3427 and much-needed funding for K-12 education! This linked article does a nice job of providing some of the behind-the-scenes drama, as well as outline the areas where these additional dollars will be earmarked. As a reminder, these funds do not infuse any additional revenue into our district’s 2019-20 budget. (Also of note is that an increase in PERS rates – 4.75% – will equate to an additional 4.4 million per year payment increase for BLS beginning next fall.)

School and Work Day Schedules: Here are the daily schedules for MVHS, SHS and BSHS for the 19-20 school year. The hours for our Office Managers and Secretaries will be: OM:  7:30am – 4:00pm and Other Sec:  7:45am – 4:15pm. The hours for our SRO’s at all schools next year will be 8:15-4:15, meaning they should arrive at your schools by 8:15.

Planning for August: It’s hard to believe we are looking to our return in the fall! Here are the Leadership events and trainings for August AND the work calendar and expectations for the weeks of Aug 26-Sept 6. The training scheduled for August 20 replaces our annual leadership retreat normally scheduled in early August AND kicks off the 2nd Annual Innovation Conference. Be sure to REGISTER your building admin team and ICCL members in PERFORMANCE MATTERS for August 20 before leaving for the summer. *sign in to Performance Matters, click “My Courses”, search for “Innovative”, then register for the days you plan to attend.

Congratulations to our twenty graduating seniors who will earn their state-level Seal of Biliteracy this spring! This is the first group to earn this distinction in our district! Here is the break down of our twenty seniors:

  • MVHS: 4 students (1 Vietnamese, 3 Spanish)
  • SHS: 7 students (1 Korean, 6 Spanish)
  • BSHS: 9 students (9 Spanish)

This award is noted on these students’ transcripts and each will earn an intertwined purple and silver cord to represent the two languages which they can wear at graduation.  Most of these recipients are native speakers of the non-English language. No doubt their families will be very proud of this distinction!  If you would like help requesting an interpreter for your ceremony so families can participate meaningfully in the celebration, Kinsey is happy to help. Thank you to Kinsey and to our ELL teachers, for bringing this awesome opportunity to our students!

What is the Seal of Biliteracy? It is a prestigious distinction awarded upon graduation to qualifying high school students on behalf of the state of Oregon.  Through rigorous assessments, recipients of the state’s Seal of Biliteracy have demonstrated high academic fluency in both English and a second language equally.  These students can understand, speak, read, and write in two languages at an extremely advanced level.  This award offers students additional opportunities such as college credits and career advantages.  We applaud our Seal of Biliteracy recipients for obtaining these specialized skills that make them uniquely prepared to thrive in a global community. 

IKA-AR: Grades and Credit was changed last year and I want to highlight its relevancy to the Val and Sal selection. The AR sets a cutoff date of May 1 of a student’s graduation year for adding courses to the high school transcript.  This would pertain to online courses, expanded options and any credit taken in a student’s 8th grade year (usually this is Alg 1 or Spanish).  This May 1 deadline guards against students adding a weighted class to their schedule at that last minute that could impact their GPA.  Your counselors have this handled, but you should be aware of the May 1 deadline. Let me know if you have questions.

Dave Van Loo shared some powerful research from George University’s Center on Education and the Workforce related to equity and achievement. The good news is our district is currently implementing, in varying degrees, the best practices highlighted in this summary. There is still work to be done.

TSPC is making some changes to the Oregon administration licensure. These will be in effect August 1, 2022. If you do not currently hold your “continuing” license – and consider working in a position outside of a building someday, then you should begin by reviewing this TSPC informational page because these changes will likely affect you. Additionally, if you know of anyone working on or thinking about working on her/his Oregon admin license, you may want to pass this informational flyer on to them.

Here are some important dates for you to know as you plan for the 19-20 school year: Our District SIW dates for next year are: Oct 9, Nov 13, Feb 12 and March 11. We are looking to schedule a Safety Training-Discussion for HS Administrators on August 14 and our Leadership Retreat will be scheduled for August 20. Plan on all members of your Administrative Team AND your ICCL Team members attending this August 20 training with Mary Ehrenworth. This day will kick off the 2nd Annual Innovation Conference August 21 and 22. There are so many outstanding practices our teachers could be sharing with other teachers! Please encourage your teachers to apply to present a session at the Innovation Conference! Please register on Performance Matters* to join us at this exciting event.

At our HS Principal meeting this week, we talked about the video viewing guidelines recently updated in EEACCA AR. We agree that training and a HS admin discussion focused on the use of our cameras in conjunction with some training in leading staff and student investigations would be appreciated. Rather than a REID Interview training, the team requests time with Jon, Debbie, Julianne and perhaps district legal to talk about best practices and scenarios. Here is the Investigation Guidelines doc we used at MV when facilitating investigations into student alleged misconduct.

Please read through this information from DHS regarding how to make Abuse Reports on their hotline. Please share with your staff, as needed.

Our next HS Administrators meeting is at the Brinson Campus this Monday, April 22 at 3:15. I have asked Mike and Roger to share about their respective schools then Dan Dummit and Walt Norris will be joining us from Maintenance to talk about the district and building roles in keeping our facilities clean and functioning efficiently. There will be time for questions. We are fortunate to have Walt and Dan as partners in keeping up our facilities!

We recently revised the District Photo/Video AR. Our cameras are an important tool in our ability to monitor our facilities and one that we all use regularly. One of the key changes I want to highlight from this AR is the role of Campus Safety and Security Officers in using our cameras. CSSO’s are authorized to Live view and archive view only. Administrators should oversee archiving (saving) footage. The circumstances under which we would need to save footage is something I have asked Scott and Julianne to train on this fall so we are clear on when this is necessary/appropriate.

PURSUIT is HERE on Monday, April 15. Kudos to Cyndi, our community organizer for the event, who has worked tirelessly to create an outstanding day for our sophomores at zero cost to them. Consider how your school/students can thank Cyndi for her time in a meaningful way!

At our April 1 Leadership meeting, Shay talked about the May 8 certified staff walk out being promoted by our BEA/OEA. He was clear that we will hold school on that day. Shay asked that each level talk about and have a plan for how that day may look if this occurs. We will discuss this topic at our April 22 meeting at Brinson Campus. In preparation, please bring your best thinking about the level of participation you expect to see from your certified staff AND be ready to share strategies your team has discussed related to how we might supervise students if numerous teachers walk out.

INSPIRE is the name selected for our HS Behavior Reset Program we started after spring break in the OLD Tamarack building. This is a temporary location until the construction is completed on the Marshall Campus, at which time it will be located at the Heart of Oregon Module. Robert Adams is currently the teacher running the program until the end of the year. The curriculum is online and Laura Clark is working with Robert in ensure students get the access they need to progress with their credits. I appreciate working with Robert and Laura, in addition to Hayley, Garra with Nutrition Services, Kim and Dan at the Bus Garage and Josh Marks to get the program started! It will provide one more option for our students to be successful!

Information:

Austin is available to visit your site and meet with your team to support you with any data needs you may have this spring.  He understands it is a busy time of year, but wants you to know he is available to schedule a visit only if you feel it would be helpful.  Possible topics for discussion might include:

  • DART specific questions
  • Where/how to get data that might help in forecasting for next fall
  • Ideas for new upstream measures in the school design plan
  • Strategies for effective data use throughout the school year
  • Any other data needs

The Nancy Chandler Visiting Scholar Program at COCC Foundation is hosting Professor Robert Putnam for a keynote, “Our Kids: The American Dream in Crisis,” on May 13.  Putnam’s nationwide research on this topic included a case study of the opportunity gap in Bend. The morning after Putnam’s keynote, local educators, non-profits and thought leaders are invited to gather and learn from Professor Putnam about the broader national implications of the growing opportunity gap and to hear about communities and programs that demonstrate systemic change. This work session will occur May 14, 8:30 – 10:30 a.m.The work session is free, but space is limited. At the February Leadership meeting, Lora asked each building administrative team to work with their leadership team and “walk” one major site decision through an equity lens as a part of the process. Lora has previously shared some questions for you to consider when you do this “walk.” Here are some examples of additional questions that staff a the Ashland School District use as a way to evaluate their decisions through an equity lens. Principals, please be prepared to share your equity walk at our May 31 Principals meeting.
