IEP Meetings – Clarifying Gen Ed Teachers’ Role & Flow
Our awesome learning specialists (Delaney, Lauren, Brandon) are required by law to have at least 1 (and often more) Gen Ed teacher present as part of the IEP team at every IEP meeting. Brandon, Lauren, and Delaney know that you are BUSY and they want to make the time you spend at IEP’s as efficient and effective as possible, and also “balance the boat” whenever they can!
FOR IEP’s:
- IEP meeting calendar invites are coordinated centrally by the records clerks and all of a student’s teachers will receive a calendar invite for IEP’s – these will be full hour calendar invites
- THEN, Brandon, Lauren and Delaney will then FOLLOW UP with a specific email to the SPECIFIC TEACHERS they need to attend, and the ask will be that you attend the first 20 minutes of the scheduled IEP (approximately) and then they will make every effort to “dismiss you” after that 20 minutes so that the parent/student don’t feel like you are “bailing out on the meeting” when your 20 min chunk is done, and you also don’t feel “stuck” there for the full hour
- Our team looks to try and balance the IEP meeting invitations where possible but it doesn’t always work that way based on the students who have IEP meetings and specific SDI goals they have aligning with what you teach
- If you have been emailed/invited by one of our learning specialists to attend the IEP and can NOT attend due to some scheduling conflict, please reply to the learning specialist as they will then need to find another teacher to attend and/or re-schedule the meeting.
IEP & 504 Screeners/Diagnostics and Other Data Collection Surveys/Tools
- There are times (prior to 3 year re-evals and or new eligibilities especially) where teachers are asked to fill out screeners (ADHD screeners etc), and while we know they are a pain, they are all aimed at getting the kiddo the right kind of help, so please complete them in as timely a fashion as you can
- We also use data collection tools to “progress monitor” kiddo receiving services. We try to have this data collection be the responsibility of members of the support team but there are times when you will be asked to fill out a QUICK google form in advance of a 504 or as part of a weekly data collection initiative on a particular kiddo
- FOR 504’s, a gen ed teacher is not required for 504 meetings, but is good practice. Typically our 504 coordinators (Kat for HS and Addy for MS) will send you an email/survey for your input in the days prior to a 504 meeting. In lieu of attending 504 meetings, we ask that gen ed teachers complete the quick google form prior to the 504 meeting… it allows the 504 coordinators (Addy at MS and Kat at HS) to run a far more effective and meaningful meeting.
EL National Conference
Just a heads up that we have the following team members headed to the EL National Conference in Chicago. These folks will be out of the building from Tuesday – Friday Dec 6th – 10th… the 1st week of the 2nd trimester. We have put in for subs and I think all of us know that we will be “thin” back home during this week. HOWEVER – I am super excited for these folks to have the chance to dive back into in person EL Education training and PD. I am looking forward to what they bring back for us and finding ways to catch and spread some of the inspiration that comes from these conferences.

Leaving Your Classroom? Let Us Know!
Please help our late students, or students returning from the SSC, and office team and Office TA’s find you!! If you are taking your class out of your classroom for more than just a couple of minutes to go do something in a distant part of the building or outside the building please be sure to do the following:
- Lock your classroom door!
- Leave a note on the door telling the office team where they can find you!
- If you are leaving campus and heading to the park or somewhere else then you need to stop in at the office and let them know and make sure you have a first aid kit and if necessary, radio as well as any off campus supplies for your students with medical issues.
For a year or more, the FoR Board has been encouraging/asking me to have more “staff voices” at our board meetings, either regularly or on occasion. At the same time, we are being “re-required” to have a site council as per Oregon law. Most schools have let it lapse.
Friends of Realms and “Now Required” Site Council
As you know, FoR is donating 60K to our schools this year – it is HUGE!
I am looking for volunteers to help fulfill BOTH of these two functions above, and this can be satisfied in a simple ways. Every 2 months we have a site council (composed of 2 cert staff, 1 classified staff, and 3 FoR board parents) meeting at the beginning of our FoR Board meeting from 5:15 – 5:45. The focus of the site council meeting is on school improvement and professional development.
Would you be willing to help out here on one of these months? RW will send out a survey asking if you would be willing to sign up for November, January, March or May!
Guidelines For Laptop Use
You might remember that last year the laptop borrowing got out of hand… students generally prefer the laptops over tablets, and some of them intentionally stopped bringing their iPads. Plus, we do have some classes that are checking out laptop carts for projects and we want to make sure they are full.
So… this year we do NOT want individual students checking out laptops when they forget their iPads. If you as a teacher would like to check a few laptops out for students to use in your room for a particular day/week as needed for a project, THAT is totally great!
Staff Safety Concerns
The Realms Safety Team consists of Jennifer, Dennis, Nurse Angelina, Caleb, and Zach, and we meet once per month to address campus safety concerns and plan for our next round of drills. If you have any safety concerns to report to this team, you can report them using the link below (you can submit anonymously)
Office Assistants Often Available!
We have one or more office assistants almost every period of the day whose primary job is to run notes/errands and complete tasks for our office team members. However, they often are ”under occupied”, so if you need help with a classroom related project please communicate that with Jennifer upfront. It is best if the job is something that can be done while the TA is stationed at the table outside the office so that they are available to run notes as needed. New UKG System For Subs and Absence Reporting
With the new UKG system kick-off on the horizon, I wanted to share a document to be sure you all know how to access Frontline for your sub needs AFTER Dec. 5th. For now, please continue to notify me and I will enter your absence. The information that you enter into Frontline will be imported automatically into UKG.
One new feature of Frontline after Dec. 5th is that staff may pre-arrange with a sub and they can be directly entered into the Frontline system. HDESD is going to grant permissions to all BLSD staff to be able to pre-arrange their own sub. Yahoo!
If you have not logged into Frontline this school year, please do so to verify that you can access Absence Management. Please don’t wait until you need to report an absence after Dec. 5th.
Also, please take a moment to set up your preferred sub list in your account if you have subs you would like to request first.
I have entered all our staff into Frontline’s Absence Management (certified and classified) and you should have access. If you are new to us, you should have received a welcome email with credentials from Becca at Frontline. If you previously had a Frontline account and cannot recall your credentials, use the recovery options or click the “Having trouble signing in?” link for more details on the login screen.

2 Hour Delay and Closure Reminders
SNOW DAY: Administrators, Classified Employees w/ 207 days or more:
These employees are expected to report to work as close to regular report
times as possible. If they are unable to report they need to report their
absence on the absentee report form. If eligible, they may use personal
leave or non‐contract time to cover the absences, or may be approved to
reschedule the hours missed with their immediate supervisor.
SNOW DAY Teachers:
Employees covered by the collective bargaining agreement with the Bend
Education Association do not report to work on weather closure days.
Those employees who may have arrived at work will be excused from duty.
The school day may be rescheduled at the discretion of the Superintendent.
SNOW DAY EA’s: Classified employees scheduled to work less than 207 days are generally
scheduled to work on days that parallel when students and staff are on the
job, therefore, they DO NOT report to work on weather closure days and
they will not receive a wage deduction.
TWO HOUR DELAY All Employees: All employees are expected to report to work as close to their regular report time as safely possible. If the program or assignment they normally are responsible for has been changed due to the late start, their immediate administrative supervisor may request them to perform other duties to assist the school or department.
