All of the Early Childhood Special Education documentation is now available for school teams to review!  

All pre-K students are currently enrolled in Synergy SE (Special Programs Tracking School), all supporting documents are uploaded into Synergy. Read through this document for detailed information and next steps! 

If you are new to the district you will be automatically enrolled in a Canvas course for Early Childhood Special Education. Your assigned coaches will follow up with you regarding questions about the course. Anyone who would like to participate in the course may do so by clicking this link.  

Hold the following dates on your calendar in February 2/21-2/24.  These are the agreed dates for evaluation planning meetings held with our ECSE partners. If a student is due for an evaluation our ECSE partner will be scheduled during this time and will need one representative to attend.

  • It is up to each school/Case Manager to get them distributed.

  • Progress Reports are available in ParentVue.

Changes to S.O.A.R. Cluster 2023-24

After a review of district needs, we have determined that we will NOT be adding any incoming sixth graders to the S.O.A.R. cluster at Pacific Crest Middle School next school year, 2023-24. The current cohort of students will continue to be served.  Additionally, we will be expanding to a full continuum of support at Pacific Crest Middle School moving forward, starting with students in grade six only.  If you have any questions, please reach out directly to our office.

The Special Edge 1/3/23

We are seeking to help create more accessible outdoor and indoor spaces for students that experience disabilities by purchasing equipment and/or supplies with some grant money. We are limited, in that, we can’t fund any facilities improvements or construction. Think about equipment and supplies that would increase access to recess or other indoor spaces in your school that is not permanent and is portable. Please complete this collaboratively as a School Admin/SPED team.  We will review all submissions and be in contact with any questions or project ideas.  Thanks.

The Special Edge 12/13/22

Onboarding New Inclusion EAs:

This is just a gentle reminder that we have a required training component that all new inclusion EAs must take prior to working with students.  The training checklist can be found HERE or you can go to the Student services resource site to find all the training details.  Ideally this would all occur on their first day on the job.  Also, remember that you can get a 4 hour sub on their first day so you can provide all of your training parts.

Hi all,

I got several emails with confusion about what December Child count is and why we do it, so I wanted to provide a little more information.

December Child count has three purposes:

  • Federal:
    • we report to the U.S. Department of Education and the Oregon Department of Education
  • Fiscal:
    • determines the number of students who can generate State School funds for Special Education
    • we receive funding for up to 11% of our total school population
  • Statistical:
    • data is used in the Special Education Report card and in SPR&I

So, every year, we want to include as many students as possible so we can reach the 11% mark.  For the past several years, we have been hovering around 10%.  This is why it is so important to get those initials that are due close to the December 1st date completed on or before December 1st and to have all meetings held before December 1st have paperwork finalized.  Students must have both an Eligibility and an active IEP to be included in the count.

This year we reported 1846 students who are actively enrolled.  That takes us to right around 10.5%.

From Transportation

Effective 10/31/22:  All transportation plan requests will now be active to start on the following Monday.  Please relay to your families when you submit a plan request that any new additions or changes to a student’s transportation plan will have at least a week’s waiting time.  If you submit a plan on a Monday, the soonest that student will be routed to start riding will be the following Monday.  This could be longer if this affects more than one route or is difficult to add.  The deadline for getting students on a bus for that Monday is Thursday at noon.  Anything received after the deadline will then be routed to start the following Monday.  Additionally, the bus drivers will no longer be calling families with their stop times and locations.  The families will receive an automated phone call alerting them that their students’ time may be changing.  This will also be followed up by an email saying that they will need to look up their students’ new/updated routing information in ELink.  All links to direct the family to the websites for their students routing information will be included in the email.  So, all families will need to know their students’ 6-digit ID number.  We cannot give out student ID numbers from the transportation office, they will re-direct them to call their school if they do not have that information.

When you are ready to submit your IEP documentation for a review from your records clerks.  Please reference the following guidelines before submitting any paperwork

  • Documentation needs to be submitted by the case manager to [email protected]
  • All relevant documents need to be collected and submitted at one time before review
    • For guidance on relevant documents please reference the Student Services resource website HERE
  • Documents should be VALIDATED, not FINALIZED upon submission for review

Hi all,

Just your friendly reminder of our annual count date.

December Child Count is a month away.  Each year, we need to count as many of our students as we can, especially those that are in the Initial process.   You will be receiving an IEP Due Date report and an Evaluation Due Date Report today as well as the following three Mondays.

Information regarding December Child Count:

  • For us to report accurate data to ODE,  case managers need to continue doing what you have always done:
    • An IEP with a due date which falls ON or BEFORE Dec. 1 MUST be reviewed and finalized on/before Dec. 1 to be included in our Child Count
      • Example: If the IEP due date is 12/1/22 and you hold the meeting 12/1/22: This IEP must be completed and finalized the same day in order for the student to be counted.
      • Example: If you hold an IEP meeting 12/1/22, but the current IEP due date is 12/3/22, then you follow practice and finalize within 10 school days.  This student still has a current IEP and is eligible on Dec. 1st.
    • If you have held ANY IEP meeting before December 1st, it must be completed, reviewed, and finalized on/before December 1st.
      • Example: If you hold an IEP meeting 11/29, but the IEP due date isn’t until 12/3, you MUST still have the paperwork reviewed and finalized by 12/1.
What you should notice from a paperwork perspective, is that there is no difference between census season and any other!  It should feel like business as usual.  Hopefully, this will alleviate the stress that so many of you feel this time of year as we head into late fall.  
  • We only have three days after Thanksgiving break before the Child Count Deadline.  Please submit all paperwork for meetings to RCC as soon as possible for those meetings held late in November so that RCC will have time to review and be ready before Dec. 1st.  
    • Scan in paperwork to RCC for a faster return. 
  •  
  • Please work with your records clerks for a review prior to finalization, but keep in mind that if they are not able to provide a review, you are still responsible for FINALIZING your IEP and all associated documents.

Our current number is over 290 IEPs due by 12/1

Also, as a reminder there are widgets that track the countdown to Dec. 1st for your students who will be due by then.

  • On the home page when you open Synergy, click on the plus .  
  • Go to Special Education, choose IEPs Due by 12/1/22.  
    • The widget will show up on your home screen.  Unfortunately, this will not refresh each time you log into Synergy.  To refresh, hover over the widget and click on the cog wheel that shows.  Choose “refresh”.
