ESY case managers please send this form (available in English and Spanish) to all families whose child qualifies for ESY, per their IEP. 

Considerations:

  • Before sending home, please review the child’s IEP and mark whether they will attend:
    • 8:30-10:00 am session (less than 90 minutes per week on the IEP) or the 8:30-11:30 session (90 minutes or more per week on the IEP)
    • GRO/EXCEL for students who have ONLY behavior/emotional/social skills as their ESY goals (flyers from Bend Park and Recreation coming soon!)

Early Childhood Special Education

Please review THIS GUIDANCE with your team as you make a plan for your site. It is critical to meet as a team and discuss!


We have worked closely with our early childhood team at High Desert ESD to make some BIG changes for our students transitioning to kindergarten in the fall. We intend to send the updated guidance very soon along with student lists.  If you are new to BLP we will share an early childhood Canvas course in preparation. 

A few significant changes:

  1. BLP is no longer facilitating the reevaluation process for current ECSE students, these will be completed by ECSE through 9/30 for any TK student. 
  2. Observations can start after February 20 
  3. Transition meetings can be scheduled starting April 1 through the end of the school year.
  4. The ECSE team will complete evaluations for new TK student referrals between May 1 and the first day of school, and provide them to BLP.

Please update the student’s team tab before submitting a meeting request. We have seen an increase in the number of meetings invites going out with out-of-date staff names. 

There are great instructions on the portal that go over how to update a student’s team:

Attaching/Uploading documents: We appreciate attempts to be efficient but kindly request that rather than uploading documents in Synergy that you please just include them in an email attachment to our team. There are specific locations, names and categories that we use when uploading documents. This allows for consistency district wide on how and where documents are uploaded. Recently documents have been popping up in unusual locations within a student’s process and we are having to spend time locating them.

Please help us welcome Rebekkah Quinn! We are excited to have a new member on our team and so appreciate all of your patience recently as we worked through our queue. Rebekkah is eager to be a part of Bend La Pine School district and we are looking forward to showing her the ropes.

Hi all,

I want to you be aware of the training opportunities for your February 2 workday.

First, 

We wanted to announce that we will be offering a CPI Initial and CPI Refresher training on Feb. 2nd !!!  This is a workday for EA’s so hoping it will work out for lots of you to participate.  If you are an Inclusion EA and have not been CPI trained, this is a requirement for Feb. 2.   Please see below for more information on how to register.

If you are an inclusion EA and are current with you CPI training, we have another great offering for you:

A Deep Dive into De-Escalation – Presented by Erin Taylor, Culture of Care Coach. 

Participants will deepen their understanding of the impact of trauma on the students we serve and dive into the elements of de-escalation. Bringing together CPI, Classroom 180, and other trauma responsive strategies, this interactive opportunity is geared toward those working directly with students who struggle to regulate their emotions and bodies.

More Information about Feb. 2nd CPI training:

Both the initial and refresher trainings require a mandatory 2.5 online training to be completed prior to the training in order to participate.  You will be time sheeted for the 2.5 hours, and those will be completed at the training. Registration will close for both classes on Jan. 26th. After you register you will receive an email with the on-line link from CPI, and we will get your workbook to you a it is needed in order to patriciate in the on-line portion Both of these trainings can be found in UKG.  The directions to sign up are below.

Top left is the BLP logo, the options are Home, Me, Training, Library

Staff will have to scroll through the other offerings to find CPI (click on “more info” at the bottom of the page)

Abbreviated School Day:

FYI: For any student whose parent has chosen to abbreviate their student’s day, a letter will be sent from RCC on February 2nd.  There is nothing you need to do.  The district is just doing its due diligence and sending a Stand-Ready to serve letter each semester.

Reminder for Case Managers; The Importance of Collecting Signatures in Person 

Just a reminder, when you have an in-person meeting, you need to collect signatures at that time.  It is much easier to have parents sign right then, rather than sending an email later.  RCC is receiving quite a few requests to send out signature documents for meetings that the parent(s) attended at the school site.

Who and When: General Education Teacher requirement at meetings:

The involvement of general education teachers in IEP meetings is vital in ensuring the academic success and support of students with diverse learning needs. When it comes to the signing of IEP documents, it’s important to understand the roles and responsibilities of general education teachers in this process.

If a student participates in ANY General education classes, a general education teacher must be invited to participate in the meeting & sign documents.  The Special education teacher can only sign as the General education teacher if the student attends NO general education classes.  Remember, electives and PE are general education classes.  This should only be the case for a very few students!

If no General Education teacher was present, you MUST:

  • Ask the parent if they are ok with having the meeting without a General Education teacher AND
  • Have them sign the Written Agreements document (AdHoc #19) 1A or 1B
    • 1A: if you are discussing something that doesn’t involve any general education access
    • 1B: used more frequently, holding an annual IEP meeting where the student’s involvement in general education will be discussed (think: accommodations, placement)

When you need to reschedule a meeting:

If you need to reschedule an IEP/Reevaluation meeting for any reason, it still MUST be before the IEP/Re-eval/Initial compliance date, even if the parent can’t attend.

Ways to do this:

  • Hold the meeting and have the parent participate by phone
  • Hold the meeting without the parent, send home a copy of the IEP paperwork, and then reach out to the parent to discuss the changes
  • Hold the meeting without the parent.  Schedule another meeting where you can amend the IEP if needed

In State Transfers (Timeline and procedure):

When your school receives sped records for an instate transfer student, please be sure to follow the following timeline and procedures.

  1. School Receives Special Education Records
  2. The special education team looks over records and then forwards them to RCC as soon as possible via email or intra-district mail (electronic is preferable)
  3. The Special Education Team needs to assign a Case Manager  
  4. The case manager needs to add students to the SE side and build the Team
  5. Records Clerks will upload the transfer IEP into Synergy and email the case manager letting them know it is ready
  6. The case manager should hold a meeting within 10 school days to determine if they will accept the transfer IEP as is or will need to write a new one
  7. The case manager then needs to send the meeting notes (needs to indicate if the IEP is being accepted as written or a new IEP will be developed) directly to the records clerk who reviewed the transfer IEP and emailed you the update. *sending in notes from your meeting is a critical step that is often overlooked/delayed

 “BIP” is now “PBSP”

The previous form “Behavior Intervention Plan – BIP” has been replaced with the “Positive Behavior Support Plan – PBSP”

The old form will no longer be accepted; the new form located in the process documents is the correct form to be used. Please do not send in attached PDF, word docs, or other documents to upload as a behavior plan. The information should be copied into the new PBSP Synergy form in the student’s current process. 

Please be sure that the IEP always reflects that there is a Positive Behavior Support Plan indicated under Special Factors and Accommodations.

HAPPY NEW YEAR!

  1. CPI Initial and Refresher Trainings are being offered on Feb. 2nd. Sign up is in UKG and closes on Jan. 24th.  If you are a new EA this year, this is a required training. Please reach out to Krista Hought, [email protected]
  2. Feeding/Health Protocols – Learning Specialists, please make sure if you have a student with a Feeding protocol, or any form of Health protocol you make sure to send a current updated copy in with your students IEP. If for some reason the protocol is done outside of the annual IEP, please make sure you send a copy to the record clerks to upload with the IEP. This should be done each year with the annual review; they are not automatically attached to the IEP unless you send them in with the IEP or specifically request it if a protocol is created or changed. Please remember this is your responsibility and double check all your current students and their protocols. 
  3. Feeding Protocols – if you have a student with a feeding protocol, everyone that is trained and has signed that protocol must  be CPR trained. We are currently working on verifying all those trained and entering them into Synergy and cross-referencing with those signed on feeding protocols. We will be offering an opportunity for staff to be CPR trained on Feb. 2nd. Watch in the blog for more information to come
