I hope this message finds all of you well!  I wanted to bring to your attention some recent updates that have been implemented to enhance Synergy, specifically with regards to the Meeting Notes/Attendance and documentation within the IEP.

  • Meeting Notes/Attendance:  This document is now MANDATORY for every IEP process, meaning the IEP will not finalize without the document completed and finalized.
  • Things to Know:
    • You do not need a physical copy of notes or attendance when using this form.  However, if you prefer to have a physical copy, you can upload those to the attachments tab of the document.  You will still need to complete the attendance portion of the Synergy Document.
    • Only Word and PDF documents can be uploaded
    • There are no signature requirements on the new document.  You list who was in attendance, just like on the IEP.
    • The Participants tab populates from the Student’s Team, so make sure the team is up to date.
  • How-to and explanation of the document is found on the website
  • Tabs on IEP:
    • Testing Tab
      • State and District Assessment Areas have been updated
    • Specially Designed Instruction and Goals-Category Drop-Downs:
      • These two drop-downs are now identical and arranged alphabetically.
    • Provider:
      • Other has been removed, only LEA and Regional remain
    • Anticipated Location:
      • locations have been removed that don’t align with our commitment to fostering an inclusive and equitable educational environment.  If you previously had one of the removed selections, you will see a number rather than a location.

DECEMBER 1 CHILD COUNT:  This is the week!  December 1st is the deadline for submission of the SECC (Special Education Child Count) to the Oregon Department of Education. It’s crucial to ensure the accuracy and completeness of the data for federal reporting, fiscal, and statistical purposes. 

Requirements for the Student Count: To be reported on the SECC, a student must meet the following criteria:

  1. Active enrollment
  2. Current eligibility for special education services
  3. Current Individualized Education Program (IEP)

What does this mean?  All student’s IEP paperwork, including eligibility and IEP, must be finalized on or before Dec 1 to count in this collection.

Records Clerks are only reviewing paperwork that was submitted by Friday, November 17.  If case managers did not submit paperwork for a review by the date, CASE MANAGERS are still responsible for finalizing all paperwork for meetings held on or before the DEC 1 deadline.  If you have any questions please reach out to a student services coach or administrator.

SPECIAL EDGE BLOG NOVEMBER 14, 2023

Positive Behavior Support Plan Live in Synergy

            Learning specialist, starting 11/27/23 the Positive Behavior Support Plan will be live in Synergy. The PBSP will be located in each process and replace the Behavior Intervention Plan. Each time an IEP team meets and agrees upon a PBSP the team will need to put that information into the Synergy form (just like you would with the current BIP). If you have questions please connect with your Learning Specialist Coaches and/or Student Success Coaches.

This program offers tuition reimbursement for our Classified employees pursuing endorsements in high-demand, hard-to-fill licensed areas. We recognize the dedication of our staff and are excited to further invest in your growth and development.

Educator Network Resources

As your Transition Network Facilitator (TNF) at the High Desert Education Service District (HDESD).  I support districts, teachers, families, and students (14-21 years old)  in the area of transition. My work includes transition programming (programs and students), person-centered planning, transition planning in the IEP (new 23-24 Transition Handbook), community agency collaboration, student summits, resource events, etc. 

In collaboration with agency partners, I want to share about Deschutes County Intellectual and Developmental Disability Services. If you have students receiving Intellectual/Developmental Disability (I/DD) Services (you will not if the parent did not sign a release), you will be receiving a list including the student, their I/DD service coordinator, and contact information this week.  If you are interested in learning more about I/DD services, be sure to attend this week’s Educator Network Day.  Shanna Nunes, Deschutes County I/DD Eligibility and Quality Assurance Specialist will be presenting on I/DD services. 

If you or a student’s family member are unfamiliar with DD services and need more information: 

How you as a teacher can collaborate with I/DD coordinators 

DD Services Coordinators can:

  • Can assist with problem-solving and connecting the student/families with resources for – behavior, mental health, safety, and legal involvement.
  •  Can assist with resources for support at home and in the community.
  • Can assist with Person-Centered, IEP, and transition planning.
  • Can assist with resources for funding sources for assistive technology and software.

THINGS TO KNOW

Meeting Notes and Attendance:

A new form has been created and inserted into all Synergy Special Education process.  Currently it is optional, not mandatory.  We encourage you to try it out as it will be mandatory after Christmas break.

Some things to know:

  • If you use the form in Synergy, you do not need to have a physical copy of notes or attendance
  • You can still use a physical copy of your meeting notes and upload it to the document in Synergy
  • only Word and PDF documents can be uploaded

Synergy Processes and the IEP

Just a reminder, please DO NOT complete IEPs in the Re-evaluation process if you are not completing the evaluation at the same time.  

For example, the IEP is due 10/15/23 and the Reevaluation is due 3/15.

You have two Options:

  • move up the Reevaluation to be completed by the IEP date (fewer meetings)
  • have RCC move the student to the Annual Process BEFORE you start any paperwork. (more meetings, and you have to complete the IEP again when the evaluation is completed)

CPI TRAINING

Thursday Oct. 26th. 

We wanted to announce that we are offering an INITIAL CPI Training (De-escalation/Restraint) on 

This is a non-contract day for classified employees. IF you are a Student Services employee, we are offering to timesheet you to attend this training. IF you are not a Student Services employee, you will need to go through your building admin for approval to attend and also to agree on compensation. 

This course requires a MANDATORY 2.5 hour online portion that must be completed prior to attending the training. We WILL be time sheeting you for this time as well. 

Sign up is in UKG and will close on Oct. 20th. Once you have signed up in UKG, we will send you an email notifying you we have signed you up for the online portion at which time you will receive an email directly from CPI. We will also get your training book to you prior to your online training.

SECONDARY Teachers:

We are again providing professional development support for teachers who are seeking ways to accelerate the learning of students who are currently performing below expectations in mathematics. This day-long professional development class is designed to support evidence-based instructional moves that teachers can give to accelerate learning. The main audience is the classroom teachers. Special Education teachers may also benefit from professional learning. Ideally, a team is sent to the professional development day.

Substitute costs will be covered by buildings. 

October 25th from 8:00 to 2:00 (This is a teacher directed SIW, teachers may stay and work with colleagues  or return to buildings) at the East Side Library. 

Topics to be discussed:

  • The role of manipulatives in instruction
  • Determining the content for math support
  • Ways to deliver explicit and systematic instruction to increase conceptual understanding.

IDEAS’ FOR STUDENTS LEFT OVER CANDY

These science experiments are the perfect way to get rid of leftover Halloween candy or to just add something sweet to your science curriculum!

Skittles Density Rainbow

In this fun science experiment you use Skittles candy to create a rainbow in a clear glass or jar. It’s perfect to do after Halloween with leftover candy or in the spring around St. Patrick’s Day. It is a simple way to teach students about density.

Materials Needed:

Skittles candy
6 small glasses or jars
eye dropper
hot water
a tablespoon

Place 2 Tablespoons of hot water in each of 5 glasses.

Place the following number of Skittles in each of the 5 glasses:

2 red
4 orange
6 yellow
8 green
10 purple

Wait for the Skittles to dissolve. If you need to speed up the process, microwave each cup up to 30 seconds.While the Skittles are dissolving, I have students record how many Skittles of each color we are using for the experiment.We then discuss which color they think has the most sugar and would therefore be the most dense. I then have students predict what color they feel should be on the bottom of the rainbow (the purple because it is the most dense and therefore the heaviest).Once the candy is dissolved, allow the water to cool (cold water is more dense than warm water).

Have students help you arrange the glasses from most dense to least dense.

Using the eye dropper, transfer the purple water to a new glass or jar.

Then add the green water to the new jar using the eye dropper and SLOWLY dribble the water along the inside of the glass. If you dump the water in or add it too quickly they will mix together and the rainbow will not form.

Once the candy is dissolved, allow the water to cool (cold water is more dense than warm water).

Professional Development for Inclusion Educational Assistants

Last week we announced that we are partnering with The National Resource Center for Paraeducators, NRCP, to provide monthly professional development opportunities for all Inclusion Educational Assistants. SECONDARY Teachers:

There is a professional development day that is designed for middle school teachers but may be of interest to high school teachers who are teaching students well below current grade level expectations in Language Arts. This professional learning class would be appropriate for teachers teaching in co-taught or in credit recovery situations.  Special Education teachers may also benefit from this professional development. A Mathematics course is planned for late October, details to come.

Language Arts:  October 16th from 8:00 to 4:00 in the Wall Street Lab (basement of the Education Center) 

Topics to be discussed:

  • Increase understanding of the role of foundational skills in reading
  • Strategies for teaching multisyllabic words
  • Strategies for improving word and world knowledge
  • Comprehension strategies

Please see the reminder about the 70 hours of emergency subbing that was sent to your schools Principal:

Need emergency EA Support Now? You have funds for that. All building discretionary budgets contain a line item titled “High Needs”.  These dollars come directly from the Student Services discretionary account for buildings to use.  The purpose of these funds is to support building administrators to quickly staff for students with high needs.  The funds are available to use at your discretion for supplemental subs and equates to 70 hours of a substitute classified educational assistant.  This is an annual allocation and the typical carryover (10%) rules will apply as with all other discretionary monies.   These funds are only to support high-need students that you believe require additional staffing.  Some other considerations when utilizing the high needs students discretionary funds:

  • The high needs student discretionary funds are not exclusively tied to students on an IEP or 504 and can be used with any student
  • Supplementary substitutes should never work directly with a high needs student.  Rather, the substitute should fill-in for our trained staff that can work with high needs students

Additional Student Services Staffing Requests:  Any requests for additional Student Services staff (included unfilled positions) need to come directly from building administrators and not from learning specialsts.  Each request will be reviewed by a team of Student Services administrators and level leaders for consideration.  Some considerations when requesting additional student services staff:

  • All high needs student discretionary funds (see above) must be spent first
  • Prior to requesting additional staff, develop a plan for how the person will be utilized, duration of the request, plan to fade support, and the name of staff member facilitating the sub and plan implementation
  • Any additional student Services staff requested via this process would need to directly serve students under the umbrella of special education (unlike the 70 hours above).

Restorative Practices Training Opportunity Next Week:

Certified staff: Our fabulous Culture of care coaches have curated some great training opportunities.  Please note that you will need to work with your building admin and procure a substitute ahead of time to attend this training.  You request a sub funds below.  If those are not available,  student services will split sub costs with your building admin.


Introduction to Restorative Practices

Tuesday, October 3rd: 8:30am-12:30pm

  • Overview of fundamental theory and practices, including the Continuum, Social Discipline Window, Fair Process and Circle Planning & Facilitation.
  • Limited sub funds available (note in your registration if requesting)

Restorative Practices Overview & Circles (Tier I/II) 

Description: Abbreviated intro of fundamental theory and practices, including the Continuum, Social Discipline Window and Circle Planning & Facilitation. Schedule: Saturday, November 4th, 2023 from 9:00am-11:00am 

Location: Virtual on Zoom 

Using Restorative Questions & Circles Effectively (Tier II) Description: Builds on the Intro course, diving deeper into using the RP questions and facilitating proactive and responsive circles. 

Schedule: Tuesday, February 13th, 2024 from 8:30am-12:30pm 

Location: Bend La Pine Schools Education Center (In person)

Restorative Conferencing (Tier III) 

Description: A responsive process to engage with those who cause and experience harm, along with related community to bring about healing, facilitate reentry and repair relationships. Introduction and Circles training recommended as prerequisites. Schedule: Tuesday, April 23rd, 2024 from 8:30am-12:30pm 

Location: TBD Bend or Redmond (In person) 

RP Community of Practice (Tier I/II/III) 

Description: Follow up sessions to trainings for professional consultation, connection, implementation support, practice and troubleshooting around restorative practices. Schedule: Virtual on Zoom 

Tier I: 11/16/23, 4:15-5:15pm Tier II: 2/27/24, 4:15-5:15pm Tier III: 5/7/24, 4:15-5:15pm
