Bend-La Pine follows ODE/OHA Communicable Disease Guidance for Schools

HOWEVER, BLS has its own Head Lice Procedure (English/Spanish) to follow. 

  • For live lice, the parent/guardian is notified and directed to pick up student. Student will remain in office area (or other designated area) until parent/guardian pick up. Student may ride the bus home if parent/guardian unable to pick up. 
  • Student’s head will be checked for live lice by designated BLS staff upon return to school.
  • Communication will be sent out following the BLS Head Lice Procedure.

Immunization Exclusion Day

Immunization Exclusion Day for ALL students is Wednesday February 21, 2024

Thank you everyone for your help in getting our students updated with their immunizations before Exclusion Day!

Primary Review Day is January 17th and that is the day I send the initial reports to the Health Department.

The Health Department will then send out letters to those families whose students are not up to date notifying them that they will be excluded from attending school on February 21st if they are not up to date by then.

Immunization Exclusion Day for ALL students is Wednesday February 21, 2024

Here are the dates to use for running your HLT 414 report to determine which students are not up to date.

Assessment date – 1/17/24

Cutoff date – 12/31/23

Exclusion date – 2/21/24

Click InsufficientIncomplete and No Record when running report

Print a copy of your report so you can use it to make notes on it such as when phone calls were made, mail sent and when students were updated.

INCOMPLETE Students: Means they are not up to date. Check Alertiis for any new immunizations that you can update. Check that the CIS signature box has been checked. 

INSUFFICIENT Students: Always is a “data input error”. The dates are in the wrong order, or the student’s birth date is entered incorrectly.

OSNA Spring Conference 2024 – NEED VOLUNTEERS

April 18-19, 2024

Riverhouse, Bend Oregon

  • Looking for help with conference “add ons” – We are looking for activities that can be offered to nurses outside of the conference. Wine tour, brewery tour, hike, any type of show, arts
  • There will be a silent auction. Any ideas on donations? Mt. Bachelor tickets? 
  • Gift baskets. Every year, school nurses bring gift baskets from their districts to raffle.

SAFETY

AEDs for Middle and High School Athletics

Over the next few weeks, nurses in middle and high schools will be receiving additional AED back packs for their athletic departments. Please give these AED back packs to your athletic directors. Please instruct them on the importance of monthly AED checks and to report any problems.

You are welcome to contact anyone on the list, not just those at your site! Please continue to use Linguist Link for the majority of your requests – CAFE members are bilingual staff who can support as linguists if you have a time-sensitive matter but should not be relied on for these services regularly.

From Dana our FAN Administrator: FAN staffing has been a challenge this year due to resignations and leaves.  Thank you all for your patience as I have adjusted staffing and most recently, made some changes in staffing assignments.  I am committed to staffing our Dual Immersion schools with Spanish speaking Advocates.  This has caused some shifts in assignments, as the last round of hiring yielded some great candidates, but none of them speak Spanish. Here is the current list of Advocates and their assigned schools. Two new Advocates are in the process of being hired now.  Please don’t hesitate to reach out if you have any questions.

Mandatory Training  – January 17th

The mandatory training for Raptor Student Safe Early Intervention that was canceled (due to the snow day) has been rescheduled for Wednesday, January 17th, Bend Senior High Auditorium. Nurses are required to attend. Our regular nurse meeting is canceled for this month. More information to come about the February 2nd meeting/training. 

What: Raptor Student Safe Early Intervention

When: January 17, 2024, 2:45-4:00 pm

Where: Perseverance Hall, Bend High School

School counselors, school psychologists, school nurses, and student success coordinators will gather together for Educator Network Day at the Caldera Auditorium for the roll out of Raptor StudentSafe early intervention software. After an initial introduction to StudentSafe, participants will be working in school site teams for entry of their risk screens. 

Action needed: please bring suicide risk screens and a screen for NSSI (if you have one) as well as your charged computer. We will be learning how to enter these documents into our system and how to navigate StudentSafe.

Missed Doses

Please review the steps to take when scheduled medication doses are missed with designated medication administration trained staff at your schools . 

  1. Ensure medication tasks are set up in Synergy as a reminder for staff re: student scheduled medications.
  2. Student does not show up at 2pm for their scheduled dose.
    1. Check to make sure they are at school.
    2. Attempt to notify student (call to class or note to student) to come to the health room.
      1. If student is still a no show, (depending on the student and possible disability) staff may need to physically go to the classroom to inform student to go to the health office. 
    3. If student refuses to go to health office for medication administration, school nurse and parent/guardian should be notified. This contact interaction should be documented in Synergy as a refusal.
  3. If student continuously “no shows” for medication administration, nurse should brainstorm with school team, student, and possibly parent/guardian on ways to best support student. Ex. – Reminder alarms on student (iPad), is there a reason the student is refusing to come to the health office, does the administration time need to be adjusted (due to class scheduling issues)?
  4. If a medication a medication error occurs the following must be done:
    1. school nurse notification
    2. parent/guardian notification (document notification in Synergy)
    3. incident report completed
  5. * If a student refuses to take their scheduled medication, an incident report does NOT need to be completed. However, medication refusal needs to be documented in Synergy along with parent/guardian and school nurse notification.

HERO KIDS

*NURSES – Please encourage your families of students with complicated or chronic health conditions, developmental disabilities or mental health conditions to register for this program. Currently, there are only 11 children in Bend/La Pine that are registered with this program.

HERO Kids Registry 

HERO Kids Registry is a voluntary, no-cost system that lets any Oregon family record critical health information about their child before an emergency. Registry information can be accessed quickly by EMS and hospital emergency departments at the moment they need it.

Registering with HERO Kids is especially useful for young people who are medically fragile, or for those who have complex conditions, developmental disabilities, or mental health conditions. Young people in a crisis can’t always communicate their needs. Family members may not be present, or they may too distressed to help. Language barriers can impede communication. HERO Kids Registry can help offset some of these challenges.

Parents and legal guardians can register their child or young adult with HERO Kids online, and there is a paper registration option for people who prefer it. Young adults aged 15-26 can register themselves. HERO Kids Registry is secure and HIPAA-compliant.

HERO Kids Registry 

HERO Kids Registry is a voluntary, no-cost system that lets any Oregon family record critical health information about their child before an emergency. Registry information can be accessed quickly by EMS and hospital emergency departments at the moment they need it.

Registering with HERO Kids is especially useful for young people who are medically fragile, or for those who have complex conditions, developmental disabilities, or mental health conditions. Young people in a crisis can’t always communicate their needs. Family members may not be present, or they may too distressed to help. Language barriers can impede communication. HERO Kids Registry can help offset some of these challenges.

Parents and legal guardians can register their child or young adult with HERO Kids online, and there is a paper registration option for people who prefer it. Young adults aged 15-26 can register themselves. HERO Kids Registry is secure and HIPAA-compliant.

In-Person Skills Training

Once the online portion of the training is completed, staff will receive a Google form to sign up for the 20 minute in-person skills training.

Staff will receive an email with your CPR/First Aid certification card within 1-2 business days after completing the in-person skills class.

Stephanie Bend sends out quarterly reports to all schools that include cpr/first aid certified school staff names.

Each school shall have, at a minimum, at least one staff member with a current first aid/CPR/AED card for every 60 students enrolled, as set by ORS 339.345, and 342.664 and who are trained annually on the district and building emergency plans. Emergency planning will include the presence of at least one staff member with a current first aid/CPR/AED card for every 60 students for school-sponsored activities where students are present. (This includes field trips.)

Seizure HMP 

If you are having difficulty printing the seizure HMP, try the following steps (sent by Steph Campbell). 

To print the seizure HMP, hit print, select advanced, on the upper right corner there is an option that allows to check Print As Image.  Check mark that then hit ok.  This should allow the seizure HMP to print with all the info. 

SPED 

  • SPED – Although nurses upload student health management plans under the “document” tab in Synergy, if the student is also receiving SPED services, please send the health management plan to the records clerks to upload into the SPED area in Synergy. Some health plans are not getting to case managers and have not been uploaded on the SPED side.
    • [email protected] (Please indicate that the HMP needs to be uploaded with the SPED documents.)

Discontinuing Health Management Plans

If a parent indicates that their student no longer needs a health management plan for health conditions such as seizures, asthma, life threatening allergy, please ask them to have their student’s health care provider write a note indicating that a HMP is no longer needed. 

  • Do you need to go through every condition and start calling parent/guardian? Tami encourages this but it is not a priority. Moving forward, please inform parents/guardians that a note is needed. If they refuse, please note that in the health conditions comment section in Synergy but do not delete the health condition. Please continue to have a current health management plan in the Synergy documents. If the parent refuses to sign the HMP, just note that in the parent signature line (include the date). 

HEALTH CONDITIONS

Earliest Return to School Date

  • When you are in Synergy and come across a student with a health condition of “earliest return to school date”, please delete that condition. That was for back in our COVID fun times.
  • OR…if you have an abundance of free time, you can run a report that identifies students with these health conditions. Substitute nurses can do this as well.

Health Condition Comments

  • Expired notes that are still present in health conditions.
    • Condition has expired but has comments.
      • Example: If a student had encopresis in 2nd grade and the condition resolved, end date the condition. When running a health conditions report (HLT401), at the bottom of the page, you will see “Display Options”, select “Suppress Expired Conditions” and “Suppress Conditions with any Expiration Date”. When you run the report, that condition and comments will not show up.
  • Condition is still active but comments are outdated.
    • Example: Asthma, comments are “8/26/19 Student has note from MD to self-carry inhaler and take 2 puffs pre PE.”
    • End date the asthma and start new asthma condition. Comments could say, “self carries inhaler, see HMP”

NICH – Novel Interventions in Children’s Healthcare 

Eligibility & Referral Process Update

NOTE: The NICH Referral form is no longer useable due to the hospital no longer allowing PHI on this platform. To make a referral to the NICH Program please contact our Referral Coordinator Samareh Shadbeh at [email protected]. We apologize for the inconvenience and have a great day.

NICH serves youth, ages birth to age 18+, with complex and/or chronic health conditions. NICH specifically targets the top 5% of patients with the highest risk (medical and psychosocial complexity) once less intensive interventions have been unsuccessful at impacting the child’s health, medication management, medical care and utilization trends.

As an intensive home- and community-based program, NICH assigns participating youth and their families an Interventionist who provides 24/7 real-time access to (1) strategic family and systems interventions, (2) health systems integration and patient needs alignment, and (3) resource access for family and patient optimization. NICH Interventionists engage families via weekly home visits, daily phone/text communications, attending appointments and can provide real-time updates to medical and community providers allowing for coordinated interventions across settings and improved management of medical regimens.

Tami reached out to Julie Walker, BLS Elementary Director of Curriculum, Instruction, and Systems, regarding where BLS is at with adopting a new, more inclusive curriculum. Per Julie, we are currently not in the adoption process for this and would most likely begin next school year with a plan to implement in the 25-26 school year. 

HIGH DESERT ESD

It was brought to my attention that the ESD has a new policy regarding the temporary accommodation form and process. Our legal department said that we can only loan equipment to kids who are on an IEP or 504. This will affect those students we have been talking about – Broken legs, casts etc.  So the process will need to change if we are to loan walkers for example. I remember working with MaryLou and she would always create a 504 for these type of students but the recent nurses don’t know about this.

Attn: ALL REGULAR NURSING STAFF

The Fall MAC Survey will be during the week of November 6th, 2023. Your yearly MAC training has expired or will be expiring soon. Please complete the training by Friday, November 3, 2023 at this MAC Training Site.

You can stop and restart the training if you do not complete it all at one time. You may have activities that you perform as part of your job that are claimable for reimbursement on MAC Survey Day, and if not, just by being a part of our trained employee base, your salary and benefits contribute to our reimbursement dollars dedicated to FAN. It will take approximately 22 minutes to complete. Please be sure to click through to the very last slide. You will be sent an email verification that the training is complete.

Logging Extra Hours in UKG

If you have worked any hours over your FTE (and Tami has approved this extra time), please include a comment in UKG when submitting this extra time. For example, in the comments, please write “student direct care”. Payroll needs some type of reason as to why you are logging in additional hours worked.
